Job Description
Olympic Construction is a family-owned, hands-on commercial construction company based in Nicholasville, KY. We self-perform masonry, ICF, concrete, and related trades on commercial projects, and ownership is active in the day-to-day work. We're looking for an organized, dependable Secretary / Front Desk person to be the first voice and first face of our office — the calm, steady center that everyone from crews to clients relies on. Position Summary The Secretary / Front Desk role keeps our office running smoothly day to day — answering phones, greeting visitors, managing paperwork and records, and supporting our Project Managers and Superintendents with whatever the day requires. This is a role for someone who's organized, personable, and comfortable wearing more than one hat. What You'll Do Answer and route a busy phone line, and greet visitors, vendors, and subcontractors at the front desk Take accurate messages and make sure nothing falls through the cracks File and retrieve contracts, invoices, certificates of insurance, and other company paperwork Support Project Managers and Superintendents with day-to-day office and administrative tasks Schedule meetings, deliveries, and appointments, and keep calendars accurate Assist with HR and payroll paperwork — new hire forms, timesheets, certifications on file Order office supplies and keep the office running smoothly without being asked Handle sensitive or confidential information (payroll, contracts, personnel matters) with discretion What We're Looking For Experience in an office, administrative, or front-desk role Strong organizational skills and attention to detail A pleasant, professional phone and in-person manner — even when things get busy Comfort with Microsoft Office or Google Workspace (Word, Excel, email, calendars) Reliable and punctual — this is a role that needs someone in the seat Comfortable in a hands-on, family-run company where you'll wear more than one hat Nice to Have Experience with QuickBooks or basic bookkeeping tasks Prior experience in a construction or trades office Familiarity with Fieldwire or similar project management software Benefits Dental insurance Health insurance Vision insurance Compensation Competitive hourly or salary rate commensurate with experience
