Position Summary This is an onsite role based in our office at 9808 Medical Center Drive, Ste. 450, Rockville, Maryland. The Administrative Assistant primarily provides support for Maryland Tech Council's CEO. This is a hands-on, multi-functional role that blends administrative support, Database maintenance, and event assistance, as well as other duties as assigned. The position requires on-site presence and a high degree of reliability, organization, and attention to detail, as well as the ability to anticipate needs, exercise initiative, and move forward independently without waiting to be directed.

Chief Executive Officer (CEO)

Hours:

Approximately 20-25 hours per week. Typically 10am to 2pm Monday-Friday. Occasional evening availability required for events.

Location:

On-site at the Maryland Tech Council office, Rockville, MD Key Responsibilities

  • Provide day-to-day administrative support to the CEO, including calendar management, correspondence, scheduling, and file organization.
  • Scheduling and coordinating internal and external meetings
  • Arrange travel, accommodations, and itineraries
  • Take meeting notes and following up on action items
  • Managing expenses, invoices, and reimbursements
  • Serve as a primary point of contact for the office - greeting visitors and handling inquiries in a professional and courteous manner
  • Maintain a clean, organized, and welcoming office environment, including light cleaning, tidying, and general upkeep of common areas and meeting spaces
  • Anticipate CEO needs, proactively identify and resolve issues, and exercise sound independent judgment
  • Handle sensitive and confidential information with discretion.
  • Maintain and update organizational databases, ensuring records are accurate, complete, organized, and current
  • Perform other duties as assigned Required Qualifications
  • Bachelor's degree preferred, or equivalent combination of education and relevant experience
  • 5-7+ years of progressively responsible administrative or executive support experience, preferably supporting C-suite or senior leadership
  • Exceptional organizational, time-management, and prioritization skills
  • Strong written and verbal communication skills
  • Demonstrated ability to manage complex calendars, meetings, travel, and competing priorities
  • High level of professionalism, discretion, sound judgment, and ability to handle confidential information
  • Strong attention to detail and accuracy
  • Proficiency with Microsoft Office, Google Workspace, and database/CRM systems
  • Experience maintaining databases, records, contact lists, and other executive information systems
  • Ability to work independently, anticipate executive needs, and take initiative
  • Strong interpersonal skills and ability to interact professionally with members, executives, and other key stakeholders
  • Ability to remain composed and effective in a fast-paced, high-level executive environmentHigh school diploma or equivalent
  • Ability to work on-site at the Maryland Tech Council office in Rockville, MD; must be comfortable performing physical tasks such as light lifting (up to 30 lbs), bending, reaching, and hands-on cleaning or maintenance activities
  • Comfortable with some evening work for events as needed
  • Ability to handle confidential information with discretion. Preferred Qualifications

00 to $30.00 per hour, commensurate with experience. Health benefits and retirement plan participation are not offered for this part time role.
