This position is with an independent advisor franchisee of Ameriprise Financial and plays a key role in delivering exceptional service to clients and supporting the advisory team. The Administrative Assistant will provide administrative and client service support through a variety of functions, including scheduling appointments, preparing client communications, tracking new business activities, and maintaining client records. This individual will also assist with additional projects and responsibilities as needed to support the continued growth and success of the practice. As the needs of the practice evolve, job responsibilities may change, and additional duties may be assigned. Key Responsibilities Schedule client appointments and enter new prospect information into the client management system. Prepare meeting agendas, forms, and supporting documentation for client appointments. Conduct appointment reminder calls and follow up with clients regarding outstanding items. Welcome clients to the office and review contact information for accuracy. Coordinate client appreciation and practice-sponsored events. Answer client questions and provide account-related information as permitted by firm policies and procedures. Maintain client files and records in accordance with records retention requirements. Update and maintain the client management system, including documentation of client interactions. Process incoming mail, log correspondence, and scan checks daily. Copy, scan, and organize financial and client-related documents. Assist with coordinating office operations, such a supply ordering, and supporting team members as needed. Perform additional administrative and operational tasks as assigned. Required Qualifications Background check and fingerprinting required. Minimum of 2 to 3 years of experience in an administrative or similar professional role; financial services industry experience is a plus. Strong verbal and written English communication skills with a professional and courteous telephone manner. Exceptional attention to detail and strong organizational, time management, and multitasking abilities. Ability to learn independently and effectively utilize available resources. Proactive problem-solving skills and comfort working with spreadsheets, databases, and other business software applications. Excellent interpersonal and client service skills. Preferred Qualifications Associate's or Bachelor's degree preferred. Prior experience supporting a financial advisor, financial planning practice, or professional services office.
