Job Description

Program Administrator Position Summary Halco is seeking a Program Administrator to support the daily operations of multiple external programs Halco participates in. This role coordinates scheduling for the care coordinator team, manages payroll processing, and produces the program updates and KPI reporting leadership relies on. The Program Administrator also provides direct administrative support to the EVP and is regularly entrusted with confidential and HIPAA-protected information. Key Responsibilities Support the day-to-day operations of NYHER and Empower program work Build and maintain the care coordinator team's schedule, resolving conflicts and covering gaps as needed Manage payroll processing for the care coordinator team Prepare program updates and KPI reporting for leadership and funder review Build reports, presentations, and meeting agendas Maintain tracking systems for program activities, deliverables, and deadlines Provide administrative support to the EVP, including calendar management, correspondence, and meeting preparation Handle confidential information, including HIPAA-protected health information, with discretion and in compliance with applicable regulations Support other administrative needs of the program and leadership team as they arise Qualifications & Requirements Bachelor's degree or higher preferred Strong organizational skills with the ability to manage multiple priorities and deadlines High level of proficiency with standard computer applications (e.g.,
Microsoft Office/Google Workspace:
Word, Excel, PowerPoint, Outlook) Demonstrated experience building reports, presentations, and tracking tools Experience handling confidential information; working knowledge of HIPAA requirements Excellent written and verbal communication skills Ability to work independently, exercise sound judgment, and maintain professionalism under pressure Preferred Qualifications Bachelor's degree or higher Experience as a community program coordinator or in a similar community-based program role Experience in healthcare, social services, or Medicaid waiver program administration Familiarity with payroll systems and scheduling software Care management or social work background a plus
