The Administrative Assistant will provide general administrative support to the local team, including office management, document organization, basic accounting and expense-related tasks, vendor communication, and internal logistics. This position will also help maintain accurate administrative records and support coordination with the Finance team in Mexico. Key Responsibilities Answer and manage phone calls, emails, correspondence, and general inquiries. Provide administrative support to the local team. Organize and maintain team calendars, appointments, and schedules. Maintain physical and digital files organized and up to date. Assist with administrative documentation and record keeping. Support basic accounting and expense-related processes. Capture and organize expenses and supporting documentation in the corresponding system according to established procedures. Assist in gathering documentation and information required by the Finance team for monthly closing. Communicate and coordinate with vendors as needed. Manage office supplies and support the coordination of office services. Assist with internal logistics, including meetings, visitors, and events. Help maintain an organized and efficient office environment. Qualifications High School Diploma required. Associate's Degree in Administration or a related field is preferred. 1-3 years of experience in an administrative or similar position. Proficiency in Microsoft Office , including Excel, Word, and Outlook. Experience with or familiarity with ERP/accounting systems such as NetSuite, QuickBooks, or similar is preferred. Strong organizational and time-management skills. Attention to detail and ability to maintain accurate records. Strong communication and interpersonal skills. Ability to manage multiple administrative tasks and priorities. Bilingual English/Spanish required. Must be authorized to work in the United States.
