Job Description

Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily the Vocational Nursing department operations, optimize workflows, and enhance overall office efficiency. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, ensuring a smooth flow of information and exceptional support to staff and students alike. This position provides a chance to develop leadership and critical thinking skills in a fast-paced environment committed to excellence. Responsibilities Manage office duties, greeting students and directing them appropriately with professionalism and warmth Maintain organized filing systems, both physical and digital, ensuring easy access to important student files Perform data entry tasks with precision using tools like Microsoft Office and Excel spreadsheets Assist with Vocational Nursing Department calendar management, coordinating with management classroom availability for class starts Organize student orientation for every start from beginning to end Provide exceptional customer service by addressing inquiries promptly and courteously, whether in person or via phone or email Support office management tasks such as ordering supplies, coordinating with other VN departments, and managing office equipment Handle clerical responsibilities with efficiency, including copying, scanning, mailing, and organizing files Skills Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Excellent phone etiquette and experience managing multi-line phone systems Bilingual abilities are highly valued for effective communication with diverse clients and staff Strong computer literacy combined with quick typing skills for efficient data entry Exceptional organizational skills with keen attention to detail and proofreading abilities Experience in customer service or customer support roles demonstrating professionalism and patience Time management skills to prioritize tasks effectively in a busy environment Previous experience as an administrative assistant is a plus but not required Join us to be part of an energetic team dedicated to supporting our organization's success through exceptional administrative support.
