Full Job Description Summary:
The Administrative Assistant plays a central role in supporting daily operations at Behavioral Consultants, Inc., a small but fast‑paced behavioral consulting practice serving clients across Milwaukee and the greater Wisconsin area. This position ensures smooth workflow, accurate documentation, and a welcoming experience. This role is ideal for someone who is detail‑oriented, organized, personable, and comfortable juggling multiple responsibilities in a clinical or professional services environment. Duties & Responsibilities. The position involves, but is not limited to, the following: Provide administrative support to clinicians who provide mental health evaluations. This includes maintaining relationships with Wisconsin circuit courts, attorneys, mental health institutions, jails and correctional facilities. Manage local clinician/client scheduling, appointment confirmations, and maintain their calendars. Assist with scanning, data entry, and digital file organization. Maintain organized digital files, records, and reports in compliance with statutory standards. Support client intake by collecting forms and ensuring accurate, confidential documentation. Monitor/respond to incoming calls, voicemail, and emails in collaboration with all administrative staff. Coordinate subpoenas for testimony received for the clinicians. Format documents and prepare correspondence for clinicians. Track deadlines, follow up on outstanding items, and support smooth daily operations. Maintain an organized, professional workspace. Provide general administrative support to clinician staff and management. Perform additional duties as assigned to support organizational operations. Required Qualifications High school diploma or equivalent; associate degree preferred 1-3 years of administrative, records, or reception experience preferred Strong attention to detail and organizational skills Excellent interpersonal and communication abilities Ability to maintain confidentiality and follow HIPAA guidelines Proficiency with office software and electronic record systems Work Environment In person. Small, collaborative team environment with direct interaction with clinicians, clients and supervisors. Standard office hours with occasional flexibility based on operational needs. Located in Milwaukee, WI, serving a diverse client population.
