Full Time Job Summary :
As an essential part of the office team, Front Office Coordinator must have medical background and knowledge of how a medical practice operates. This position requires a team mentality, excellent interpersonal and communication skills, excellent organizational skills, excellent written skills, and knowledge of medical terminology and computer skills. Must also develop and maintain a good working relationship with all health care partners and provide excellent patient communication. Qualified candidates will have the following: Understanding of medical terminology Experience in a medical office setting Excellent written and oral communication skills Position Duties included, but not limited to :
Phone Calls and Scheduling:
Answer incoming phone calls and route to appropriate recipient Relay messages for back office as needed Contact no-show patients for scheduling Check voicemail, return messages and route voicemail messages to correct recipient if needed Complete patient reminder calls for upcoming appointments, 24 hours in advance Inform necessary providers of same day appointments
Verification and Collections:
Collect insurance information over the phone for new patient appointments Verify demographics and insurance with patient at each visit (follow-up patients) Collect copays, coinsurances, past due, and deductibles in advance of appointments Scrub upcoming schedules for past due amounts, deductibles, and coinsurance responsibilities, note in patient chart Approve payment plan and exceptions for financial arrangements Balance collected payments at the end of the day with practice management systems Respond to billing tasks which require demographic changes
Check-in/Check-out:
Greet patients at check-in and collect New Patient Packet Scan and upload all registration documentation received from patient into patient chart Register/check-in patients and collect insurance information Perform check-out procedures
Check-Out/Procedure Scheduling:
Schedule follow up appointments for patients Schedule procedures in EMR, along with pertinent information Review patient benefits and outline facility options Note facility options in patient chart for Provider Estimate and collect procedure deductible and copay in advance of procedures
General Patient Communication:
Communicate with patient regarding wait time and status of providers Send patient invites to website and patient portal Email patient link to online health history forms Answer questions regarding billing and patient balances while patient is in office
General Office Responsibilities:
Prepare and send medical records as requested by patients or outside medical Providers Collect and distribute mail on a daily basis Back up Registered Nurse during breaks, lunches and as needed Help with front office overflow when needed Clean organize office area and desk daily Clean check-in area and wipe down patient chairs and couches twice per day Understand and maintain adherence to
HIPAA/OSHA
regulations Follow up on all no-show patients daily and ensure patients are charged accordingly Follow all Policies and Procedures written for position
