In this vital role, you will manage front desk operations, provide exceptional customer service, and support daily administrative functions. Your positive attitude and strong organizational skills will help create a smooth and professional environment for patients, visitors, and team members alike. Responsibilities Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette Execute a strict 3-day look-ahead workflow to guarantee all upcoming clinical paperwork is completed timely. Handle incoming correspondence, emails, and inquiries with clarity and professionalism Perform data entry, filing, and document proofreading to ensure accuracy and organization of records Support office management tasks Call scheduled patients who have failed to complete their pre-appointment paperwork to assist them before arrival. Consistently collect, verify, and scan physical health insurance cards and state IDs. Reliably collect all required patient copays, cash fees, or PI deductibles at the point of service. Call patients who are missing at their scheduled appointment time to check their current ETA. Manage daily patient check-out sheets and schedule the next appointment/procedure as directed before the patient leaves. Requirements Proven experience in office management or administrative roles with strong organizational skills Excellent computer skills including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools Experience with multi-line phone systems and phone etiquette in a professional setting Bilingual abilities are highly valued to serve diverse client needs effectively Prior experience as a receptionist or in customer support roles such as medical or dental receptionist is preferred Strong attention to detail with proofreading skills and high levels of accuracy in data entry and documentation Ability to manage time efficiently, prioritize tasks effectively, and adapt to changing priorities Personal assistant or clerical experience that demonstrates reliability and professionalism Join us to be part of a vibrant team dedicated to delivering outstanding service while honing your administrative expertise.
