Job Summary We are seeking a dynamic and organized Secretary/Receptionist to be the welcoming face and efficient coordinator of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills, with the ability to handle multiple tasks with professionalism and enthusiasm. Responsibilities Greet visitors, clients, and vendors warmly and professionally, ensuring a positive first impression. Answer multi-line phone systems promptly, using proper phone etiquette to direct calls efficiently. Manage front desk activities including scheduling appointments, handling mail, and maintaining visitor logs. Perform clerical duties such as filing, data entry, proofreading documents, and word processing using Microsoft Office applications. Support office management tasks by organizing supplies, maintaining cleanliness, and overseeing general administrative procedures. Assist with client communication and support efforts to ensure excellent customer service at all times. Coordinate with team members to schedule meetings and manage calendars effectively. Qualifications Bilingual abilities are highly preferred to serve diverse client needs effectively. Proven office management experience with a strong background in clerical and administrative support. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy. Prior office experience with familiarity in front desk operations and multi-line phone systems. Excellent organizational skills with the ability to prioritize tasks efficiently. Strong interpersonal skills with a focus on customer service and client communication. Demonstrated time management skills and attention to detail in proofreading and filing tasks. Personal assistant or receptionist experience is a plus; candidates should possess good phone etiquette and professional demeanor.
