Location:
Fort Collins, Colorado Starting Pay:
$25.00 per hour
Signing Bonus:
$1,000 after 90 days of successful training, satisfactory performance, and regular attendance Colorado Accident & Injury is seeking a professional, mature, highly organized Office Manager / Receptionist / Medical Records & Case Management Coordinator for our Fort Collins clinic. This is a key administrative position combining office management, reception, patient intake, medical records management, data entry, medical billing documentation, and case management support . The ideal candidate is dependable, detail-oriented, friendly, self-motivated, and able to manage multiple responsibilities without constant supervision. We are looking for someone who takes ownership of their work, follows through on assignments, communicates well with patients and coworkers, and helps keep the clinic organized and running efficiently. Primary ResponsibilitiesReception & Patient Services Serve as the primary receptionist and front-office representative for the Fort Collins clinic. Professionally greet patients, attorneys, vendors, and visitors. Answer incoming telephone calls and direct calls to the appropriate team member. Respond to patient questions and assist with routine scheduling and administrative needs. Monitor and respond to emails in a timely and professional manner. Assist patients with completion of new patient intake paperwork. Collect patient identification, insurance cards, attorney information, automobile insurance information, and other required documentation. Upload new patient intake documentation into the electronic health record. Maintain a professional, friendly, and welcoming front-office environment. Office Management Assist with the day-to-day administrative operation of the Fort Collins clinic. Help organize front-office workflow and ensure administrative tasks are completed promptly. Coordinate with providers, case managers, billing staff, and other CAI team members. Identify incomplete administrative tasks and take initiative to resolve them. Maintain organized electronic and physical filing systems. Help ensure clinic policies and administrative procedures are consistently followed. Assist management with operational projects and other administrative responsibilities as assigned. Communicate problems promptly to the appropriate member of the management team. Take ownership of assigned responsibilities without requiring micromanagement. Medical Records Management Receive outside medical records from hospitals, emergency departments, urgent care centers, imaging facilities, specialists, and other healthcare providers. Review records for correct patient identification, date of service, provider, and completeness. Upload outside medical records into the patient's electronic health record. Accurately categorize and organize medical records within the EHR. Compile Colorado Accident & Injury medical records for individual patients. Upload CAI medical records into ShareFile. Maintain organized electronic ShareFile folders for each patient's case. Assist with preparing medical records for authorized delivery to attorneys, patients, insurance representatives, and other appropriate parties. Track missing medical records and communicate with the case management team regarding outstanding documentation. Medical Billing Documentation Compile patient medical billing records and account documentation. Upload Colorado Accident & Injury billing records and statements into ShareFile. Organize billing documentation by patient and date of service. Work with the billing and case management teams to confirm billing documentation is complete. Assist with preparing combined medical record and billing packages for authorized distribution. Help identify missing billing information and communicate those issues to the appropriate team member. Case Management Support Work closely with the CAI case management team to organize medical records, billing information, insurance information, and patient documentation. Assist case managers with gathering and organizing information needed for personal injury cases. Respond to internal requests for medical records and billing documentation. Help prepare records for attorneys, patients, insurance companies, and other authorized recipients. Track outstanding record requests and administrative tasks. Communicate professionally with attorneys' offices, paralegals, insurance representatives, medical offices, and patients when assigned. Assist the case management team with routine administrative and documentation responsibilities. Work collaboratively with the entire clinic and case management staff. Patient Intake, Insurance & Data Entry Enter new patient demographic and intake information into the electronic health record. Assist with obtaining first-party and third-party automobile insurance information. Enter insurance carrier information, claim numbers, adjuster information, attorney information, and related case information into the medical record. Upload insurance cards, identification, accident-related documentation, and supporting records. Perform accurate and timely data entry. Review entered information for accuracy and completeness. Assist with correcting incomplete or inaccurate patient information. Help ensure patient charts contain the required medical, insurance, billing, and legal documentation. Minimum Job Requirements Minimum of five years of experience working in a medical office, healthcare office, law office, or similar professional administrative environment. Strong computer skills and ability to work comfortably in multiple software systems.
Proficiency with:
Microsoft Word Microsoft Outlook Microsoft Teams Microsoft Excel Zoom Experience working with electronic documents, electronic filing systems, document management, and data entry. Excellent attention to detail and commitment to accuracy. Strong organizational and time-management skills. Ability to prioritize multiple responsibilities in a busy medical office. Strong written and verbal communication skills. Professional telephone, email, and interpersonal communication skills. Ability to maintain patient confidentiality and comply with HIPAA requirements. Dependable attendance and punctuality. Ability to work independently and complete assigned responsibilities without requiring constant supervision. Ability to recognize what needs to be done and take initiative to complete tasks. Preferred Qualifications Preference will be given to candidates with: Previous experience using an electronic medical record or electronic health record system such as Epic, athenahealth/Athena, eClinicalWorks, or a comparable platform. Experience uploading, categorizing, retrieving, and managing medical records within an EHR. Previous medical records, medical receptionist, office management, or healthcare administrative experience. Previous experience in a personal injury medical practice or personal injury law office. Experience compiling medical records and medical billing for attorneys, insurance companies, or patients. Experience using ShareFile or a similar secure electronic document-management platform. Experience working with attorneys, paralegals, insurance adjusters, and automobile insurance claims. Spanish-English bilingual ability is preferred. Compensation Pay:
$24.89 - $29.98 per hour Expected hours: 32.0 - 40.0 per week
