Position OverviewQualified candidate will operates multiline telephone system to answer incoming calls and directs callers to appropriate personnel, ordering of supplies and sort and distribution of incoming mail as well as outgoing overnight delivery services.

Job Duties
  • Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
  • Takes messages or transfers calls to voice mail when appropriate personnel are unavailable.
  • Answers questions about organization and provides callers with address, directions, and other information.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
  • Receives, sorts, and routes mail, and maintains and routes publications
  • Orders, receives, and maintains office supplies.
  • Comprehensive understanding of customer service, principles and practices
  • Work under time constraints to meet specific timelines
  • Attention to detail and keen sense of safeguarding other people's property and informationResponsibilities
  • Responsible to maintain a professional presence while greeting visitors and answers calls.
  • Use discretion as necessary when routing calls or providing information regarding the organization to callers.
  • Monitors visitor access and issues passes when required.
  • Manages the main fax machines, assists users, sends faxes, and retrieves and routes incoming faxes.
  • Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary.
  • Performs other clerical duties as needed, such as filing.
Qualifications
  • 1+ years general office administration experience
  • Proven ability to multi-task in fast-paced office environment
  • Quick learner, detail oriented and self-motivated
  • Construction or insurance industry experience preferred.
  • Strong written and verbal communication skillsPhysical Demands
  • Occasional lifting from 5-40 lbs, unassisted (from 0-15% of the time)
  • Sitting for extended periods of time
  • Manual dexterity needed for keyboarding and other repetitive tasks
  • The ability to bend, crouch, or stand as necessary.
