We are dedicated to providing exceptional medical care and a warm, welcoming experience for every pet and their family. Our team is passionate, client-focused, and committed to the highest standards of veterinary medicine. Position Summary We are looking for an experienced, energetic, and compassionate Front Desk Customer Service Representative to be the first point of contact for our clients and their beloved pets. This role is critical to the PAWS experience — we expect nothing short of top-notch client service at every interaction. You will set the tone for every visit, ensure seamless communication between clients and the care team, and go above and beyond to make every pet family feel heard, valued, and well taken care of. Key Responsibilities
  • Greet clients and patients warmly upon arrival and check them in/out efficiently
  • Answer and manage a multi-line phone system, triaging calls and scheduling appointments
  • Deliver exceptional, white-glove client communication at every touchpoint — in person, by phone, and via follow-up
  • Proactively follow up with clients after appointments, procedures, or inquiries to ensure satisfaction and continued care
  • Collect and process payments, including processing care financing options
  • Maintain accurate client and patient records in our practice management software
  • Communicate clearly with veterinary staff to coordinate patient flow
  • Handle client concerns and complaints with professionalism, empathy, and swift resolution
  • Perform end-of-day reconciliation and cash drawer management
  • Maintain a clean, organized, and welcoming front desk and lobby area Requirements
  • Minimum 3 years of customer service or front desk experience, preferably in a veterinary or medical setting
  • Demonstrated ability to deliver outstanding client experiences with a high attention to follow-through
  • Strong communication skills — professional, warm, and clear in person and on the phone
  • Ability to remain calm and composed in a fast-paced, emotionally charged environment
  • Comfort handling cash, card transactions, and basic financial reconciliation
  • Genuine love of animals and compassion for pet owners during stressful moments
  • Bilingual (English/Spanish) is a strong plus given our South Florida community What We Offer
