Job Description

POSITION SUMMARY
This is a moderately complex and varied administrative position assisting in the coordination and administration of operations in the Admissions Department. Work involves coordinating administrative activities of the Admissions Department on a limited basis, including responding to phone, email, and in-person inquiries regarding admissions as well as secretarial and administrative functions of the Admissions Department. Candidate must be highly motivated, energetic, and detail oriented who can work with a diverse population.
ESSENTIAL FUNCTIONS
As an Admissions Assistant/Receptionist, you will be responsible for the smooth operation of the school's front desk. Responsible for office daily functions including, but not limited to: Morning tasks: preparing welcome board, preparing and sending tour emails Greeting visitors, answering & routing phone calls, taking messages, answering questions and responding to inquiries Registering and directing visitors to the appropriate areas of the school Timely data entry into Blackbaud to ensure that the most accurate and up-to-date data is in the system on all contacts. This includes tour forms, FACTS Management Financial Aid information, and any other form or system that supplies information. Timely data entries for application documents. Prompt delivery of files and information to each admissions counselor to enable timely contact with families. Responsible for the organization and appearance of the admissions office. Responsible for scheduling tours & appointments. Responsible for assisting counselors with records requests, including calling appropriate school officials to request transcripts when needed. Responsible for maintaining and organizing travel documents as directed by the VP of Enrollment Management/PDSO Responsible for special projects and reports as directed. Prepares requisitions for materials and supplies. Operates standard office equipment and performs related work as required. Responsible for familiarity with all aspects of the recruiting process and being able to assist admissions counselors or work in their absence. Assist with all admissions events including, but not limited to, Campus Open House, regional information fairs, registrations, and retention events. Conduct effective communication with families in the inquiry, application, enrollment, and re-enrollment process.
OTHER RESPONSIBILITIES
All other work as assigned by the VP of Enrollment Management and Director of Financial Aid.
PHYSICAL REQUIREMENTS
Must be able to sit at a desk for 5-8 hours per day. Must be able to stand, walk, bend, and stoop as duties dictate. Must be able to lift and carry up to 10 lbs. regularly and up to 20 lbs. occasionally. Must be able to use hands for data entry, writing, pulling, pushing, and other fine manipulation. Must be able to verbally communicate in person, phone, and two-way radio.
EDUCATION, EXPERIENCE, SKILLS REQUIRED
High School diploma required. Preferred graduation from an accredited 2-4 year university with a degree in business, social science, sales, marketing or a related field preferred. Experience in sales and/or marketing in an educational environment is preferred. Experience in a private school environment preferred. Excellent oral and written communication skills in English required. Must have a working knowledge of Microsoft Office, Blackbaud, and WhatsApp. Must have the ability to establish and maintain effective working relationships with the general public, co-workers, and members of diverse cultural and linguistic backgrounds regardless of race, religion, age, sex, disability, or political affiliation.
