We have embarked on a new journey of conducting research studies and starting pilot programs to help heal bodies and minds. Looking for an experienced office manager to lead the office day to day. Open to hiring a part-time reception. Overview We are seeking a dedicated and organized Office Manager to oversee the daily operations of our medical facility. The ideal candidate will possess strong leadership skills and a comprehensive understanding of medical insurance and scheduling, ensuring that our office runs efficiently while providing exceptional service to our patients. This role is crucial in maintaining compliance with HIPAA regulations and managing office protocols. Duties Supervise and coordinate the activities of the medical office staff to ensure smooth operations. Manage patient scheduling, including appointments and follow-ups, utilizing electronic health record system and task management software. Ensure compliance with HIPAA regulations and maintain patient confidentiality at all times. Oversee the management of medical records, ensuring they are accurately filed and easily accessible. Handle phone systems effectively, addressing patient inquiries and directing calls as necessary. Collaborate with healthcare providers to streamline office processes and improve patient care. Maintain inventory of office supplies and medical equipment, placing orders as needed. Train new staff on office procedures, medical terminology, and software systems. Implement policies and procedures to enhance operational efficiency within the office. Requirements Proven experience in a medical office environment, preferably in a managerial role. Strong knowledge of medical insurance terminology and administrative processes within a healthcare setting. Familiarity with electronic health record systems. Excellent organizational skills with the ability to manage multiple tasks simultaneously. Proficient in using computer systems for filing, scheduling, and communication purposes. Strong communication skills, both verbal and written, with an emphasis on customer service. Ability to work collaboratively within a team while also demonstrating independent problem-solving abilities. A commitment to maintaining confidentiality and adhering to ethical standards in healthcare.
