In this vital role, you will be the first point of contact for visitors and clients, providing exceptional customer service while efficiently managing administrative tasks. Your proactive approach and strong organizational skills will ensure smooth daily operations, support office management, and enhance overall productivity. Duties Greet visitors and clients warmly, ensuring a positive first impression while managing front desk responsibilities with professionalism and courtesy Answer multi-line phone systems promptly, directing calls accurately and providing excellent phone etiquette to all callers Manage calendar appointments, schedule meetings, and coordinate office events using productivity software and calendar management tools Perform data entry tasks with precision, maintaining accurate records in spreadsheets and client databases using Microsoft Office applications Handle incoming and outgoing correspondence, including emails, mailings, and document proofreading to ensure clear communication Support office management by organizing supplies, maintaining filing systems, and overseeing clerical functions such as word processing and document preparation Assist with customer support inquiries, providing timely responses and ensuring client communication is handled efficiently and professionally Experience (Preferred but not required) Proven office experience or administrative support background demonstrating familiarity with front desk operations and clerical tasks Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), spreadsheets, data entry, and productivity software Experience with QuickBooks, Clio, or similar accounting software is a plus for handling basic financial transactions Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Demonstrated customer service skills with a friendly demeanor and professional phone communication expertise Prior experience in personal assistant roles or office management positions is advantageous for supporting executive needs While experience is preferred, we are more concerned with finding the right person who fits our office culture.
