Position Overview We are seeking a reliable, organized, and customer-focused individual to join our team in a hybrid Front Desk Receptionist / Administrative Clerk position. This full-time role provides support across multiple areas of the company throughout the week. Tuesday through Thursday will focus on clerical and administrative support for our Permitting and Processing departments, while Friday and Saturday will focus on front desk reception and customer service. The ideal candidate is dependable, detail-oriented, professional, and comfortable handling a variety of clerical tasks while maintaining a welcoming and organized front office.
Weekly Schedule & Responsibilities:
Tuesday-Thursday:
Administrative Clerk — Permitting & Processing Provide clerical and administrative support to the Permitting and Processing departments. Assist with preparing, organizing, scanning, filing, and processing documents. Enter and maintain accurate information in company systems. Assist with organizing documentation. Review paperwork for completeness and accuracy. Identify missing information and communicate outstanding items to the appropriate team member. Maintain organized digital and physical files. Assist with data entry, copying, printing, scanning, and document preparation. Follow established procedures and checklists to ensure documents are processed correctly. Communicate with internal departments regarding paperwork and processing needs. Assist with general clerical duties and other tasks as assigned.
Friday-Saturday:
Front Desk Receptionist Serve as the first point of contact for customers, visitors, vendors, and callers. Greet visitors in a friendly and professional manner. Answer, screen, and direct incoming phone calls. Respond to basic customer questions or direct inquiries to the appropriate team member. Receive and distribute incoming mail, packages, and deliveries. Assist with scheduling appointments and maintaining calendars as needed. Maintain a clean, organized, and professional reception area. Provide excellent customer service and create a welcoming experience for visitors. Take and relay messages accurately and promptly. Assist with general office and clerical duties as needed. Support the team with additional tasks during busy periods Ideal Candidate We're looking for someone who is dependable, organized, detail-oriented, and willing to help wherever needed. Because this is a hybrid position, the successful candidate should be comfortable transitioning between clerical work in the Permitting and Processing departments and customer-facing responsibilities at the front desk.
