Job Description
The Receptionist / Customer Service Agent serves as the first point of contact for homeowners, board members, vendors, and other callers contacting the HOA management company. This position is responsible for providing professional, courteous, and timely customer service while accurately handling incoming calls, emails, correspondence, payments, and general homeowner inquiries. The ideal candidate is organized, dependable, professional, and able to remain calm and courteous when dealing with challenging situations. This position requires excellent communication skills, attention to detail, and the ability to efficiently manage multiple priorities in a fast-paced office environment. Essential Duties and Responsibilitie s Serve as the primary receptionist and first point of contact for the company. Greet homeowners, board members, vendors, and visitors in a professional and courteous manner. Answer, screen, and route incoming telephone calls to the appropriate department or staff member. Monitor the front desk and maintain a professional and welcoming office environment. Receive and distribute incoming mail, packages, deliveries, and other correspondence. Process and date-stamp incoming documents and payments according to company procedures. Maintain the reception area and ensure it remains organized and presentable. Assist with general administrative duties as assigned. Performance Expectations The Receptionist / Customer Service Agent is expected to: Arrive on time and be ready to perform assigned duties at the beginning of each scheduled shift. Maintain consistent attendance and reliability. Follow established company policies, procedures, and customer service standards. Remain at the front desk during assigned coverage periods unless performing an approved work-related task. Maintain professional appearance, conduct, and communication at all times. Avoid personal activities that interfere with job responsibilities or customer service. Accurately complete assigned work within established deadlines. Demonstrate accountability for assigned responsibilities. Maintain a positive and professional attitude when interacting with coworkers and customers. Escalate issues appropriately rather than providing information outside the scope of the position. Required Qualifications High school diploma or equivalent. Previous receptionist, customer service, administrative, property management, or office experience preferred. Excellent verbal and written communication skills. Bilingual in English and Spanish Strong telephone and customer service skills. Ability to remain professional and composed when handling difficult conversations. Strong organizational and time-management skills. Ability to multitask and prioritize competing demands. Strong attention to detail and accuracy. Basic computer proficiency, including email, Microsoft Office, and data-entry systems. Ability to learn and use HOA/community management software. Ability to work effectively both independently and as part of a team.
