Overview We are seeking a dynamic and organized Front Desk Associate to be the welcoming face of our organization. Duties Greet visitors, clients, and staff with enthusiasm and professionalism, ensuring a warm and welcoming atmosphere Answer multi-line phone systems promptly and courteously, directing calls efficiently to appropriate departments or personnel Manage appointment scheduling, calendar coordination, and basic office management tasks using productivity software such as Microsoft Office and Google Workspace Perform data entry, maintain filing systems, and update spreadsheets accurately to support administrative operations Handle incoming and outgoing correspondence, including emails, mailings, and document proofreading Support office management by organizing supplies, maintaining cleanliness of the reception area, and assisting with clerical tasks such as copying and word processing Utilize computer skills for various tasks including bookkeeping, record keeping with QuickBooks, and managing client information with CRM tools Requirements Proven experience in office administration or clerical roles with strong organizational skills Excellent customer service skills with a friendly phone etiquette and professional demeanor Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and general computer literacy Ability to operate multi-line phone systems efficiently and handle multiple tasks simultaneously Bilingual abilities are highly desirable to serve diverse client needs effectively Experience with front desk responsibilities in medical or dental settings is a plus but not required Strong typing speed, proofreading skills, and attention to detail for accurate data entry and document management Demonstrated time management skills to prioritize tasks in a fast-paced environment Knowledge of office management software such as QuickBooks or bookkeeping experience is advantageous Join us as a Front Desk Associate where your proactive attitude and organizational expertise will make a meaningful impact every day.
