Job Description

Job Overview We are seeking a proactive and organized Service Dispatcher to join our team. The Service Dispatcher is responsible for coordinating daily service operations, customer communication, and field schedule management. This role acts as the primary link between customers, field service technicians, and internal operations. Delivers excellent customer service through timely communication, post-job follow-ups, and precise administrative tracking to support efficient daily operations.
Essential Responsibilities Call Intake & Dispatching:
Receive all incoming service-related calls adhering to company intake guidelines. Create, schedule, and dispatch jobs and visits using BuildOps to optimize technician routing and response times.
Customer Communication & Experience:
Set up new customer accounts. Proactively communicate with customers regarding ETAs, upcoming service visits, and status updates on replacement parts. Conduct post-job check-ins and address basic customer inquiries.
Technician Preparation & Fleet Logistics:
Ensure field technicians are prepared with necessary job details and materials prior to dispatched calls. Schedule truck stock trips and coordinate routine vehicle maintenance schedules.
Parts, Inventory & Warranty Management:
Handle parts ordering, vendor price checking, and inventory management. Coordinate vendor returns, process warranty tracking, and monitor parts delivery timelines.
Administrative & Systems Upkeep:
Perform daily audits of jobs, visits, and invoices to maintain current system organization. Batch invoices and complete administrative workflow tasks to support operational accuracy.
Project Support & Teamwork:
Communicate effectively with team members; support company initiatives and participate in ongoing professional development and administrative training.
Administrative Compliance:
Complete all documentation, records, and reports in accordance with company policy and internal operational guidelines. All other duties as assigned. Qualifications & Competencies 2+ years of dispatching, scheduling, or operational coordination experience (HVAC-R or field service industry preferred). Experience utilizing BuildOps or equivalent field service management (FSM) software. Strong knowledge of customer service principles and phone communication standards. Familiarity with vendor purchasing, inventory, and warranty processes. Strong organizational skills with high attention to detail and ability to conduct daily operational audits. Solid communication skills, both verbal and written. Ability to multitask, prioritize high-volume tasks, and work effectively in a fast-paced environment.
Pay:
$25.50 - $34.50 per hour Expected hours: 40.0 per week
