Full Job Description Job Type:
Part-Time, As Needed Part-time position, with hours scheduled based on organizational needs, grant requirements, and coalition activities. Anticipated workload of up to 20 hours per week during active periods. Hours may fluctuate throughout the year and may be reduced during slower programming periods, including the summer. Hybrid work arrangement, with a combination of remote administrative work and required in-person meetings, partner visits, and coalition activities. Opportunity for increased hours, compensation, and responsibilities based on performance, organizational needs, and funding availability.
Compensation :
Starting at $25 per hour - $35
Schedule:
Up to 20 hours per week, based on organizational needs and grant activities. Hours may fluctuate throughout the year, with reduced hours during slower programming periods, particularly during the summer. Position Overview The Coalition, Partnerships, & Grants Manager will be responsible for coordinating coalition operations, managing partner relationships, tracking grant deliverables, supporting financial oversight, and ensuring that initiatives remain on schedule and aligned with funding requirements. This individual will serve as a primary point of contact for coalition partners, helping to organize meetings, establish work plans, monitor progress, and ensure accountability across participating organizations. This is a part-time, as-needed position with the potential for increased hours and responsibilities as the coalition grows and additional funding becomes available. Key Responsibilities Coalition & Partnership Management Coordinate communication and collaboration among coalition partners, schools, community organizations, and other stakeholders. Schedule, organize, and facilitate coalition meetings, including preparing agendas, documenting meeting minutes, and tracking action items. Maintain regular communication with partners to ensure assigned responsibilities and commitments are fulfilled. Conduct outreach to prospective partners, schools, and community stakeholders to support coalition initiatives. Identify potential challenges, address coordination issues, and escalate concerns to leadership when necessary. Grant Management & Compliance Coordinate the implementation of multiple grant-funded initiatives, ensuring activities align with approved proposals, budgets, and timelines. Maintain a centralized grant calendar to track deadlines, reporting requirements, deliverables, and partner responsibilities. Collect and organize documentation, program data, and other information needed for grantreporting. Assist with the preparation and submission of grant reports, progress updates, and supporting documentation. Monitor grant performance and identify potential gaps in implementation or compliance. Work with coalition partners to ensure accurate and timely submission of required information. Financial Coordination & Budget Monitoring Collect, review, and track partner invoices and supporting documentation. Monitor grant expenditures against approved budgets and identify potential discrepancies or funding gaps. Coordinate with organizational leadership regarding payments, budget adjustments, and financial reporting. Assist with budget planning, forecasting, and resource allocation for coalition initiatives. Maintain organized financial records and expenditure tracking systems. Program Planning & Implementation Develop and maintain work plans, project timelines, and implementation schedules for coalition initiatives. Coordinate partner activities, school-based initiatives, community engagement efforts, workshops, and coalition events. Ensure partners understand their assigned responsibilities, timelines, and expected outcomes. Track implementation progress and recommend adjustments to improve efficiency and effectiveness. Support the development of new initiatives and collaborative funding opportunities. Administrative & Executive Support Maintain organized coalition records, agreements, meeting documentation, and project management systems. Provide regular progress updates to the CEO regarding grant performance, partner engagement, financial activity, and upcoming deadlines. Identify outstanding tasks and proactively follow up with responsible parties. Assist with preparing presentations, reports, and other materials for funders, partners, and community stakeholders. Perform other coalition-related duties as assigned.
Qualifications Required:
Minimum of 2 years of experience in nonprofit management, grant coordination, project management, coalition management, or a related field. Demonstrated experience managing multiple projects, deadlines, and organizational priorities. Strong written and verbal communication skills. Experience coordinating meetings, managingstakeholder relationships, and tracking project deliverables. Working knowledge of grant reporting, budget tracking, and financial documentation. Proficiency in Microsoft Office, Google Workspace, and project management tools. Ability to work independently, exercise sound judgment, and take initiative. Strong organizational skills and attention to detail. Ability to maintain professionalism and accountability when working with multiple organizational partners. Availability to attend occasional in-person meetings, school visits, and community events throughout Baltimore.
Preferred:
Bachelor's degree in nonprofit management, public administration, business administration, social work, or a related field. Equivalent professional experience will be considered. Experience managing government, foundation, or other publicly funded grants. Experience working with community coalitions, youth-serving organizations, or school-based partnerships. Familiarity with Baltimore's nonprofit, education, and community development landscape. Experience with Asana, QuickBooks, or similar project management and financial tracking systems.
