As Bloom continues to grow, we are seeking an organized, dependable, and compliance-focused Head of Delivery & Inventory to support our Maryland dispensary operations. Position Summary The Head of Delivery & Inventory is responsible for coordinating incoming product deliveries and overseeing the accurate receipt, inspection, processing, tracking, storage, and release of cannabis products and accessories. This position protects the dispensary's chain of custody and ensures that all inventory activity is completed accurately in Metrc, Dutchie, and applicable internal tracking systems. The Head of Delivery & Inventory serves as the primary point of communication between the dispensary, vendors, purchasing, compliance, marketing, and store leadership regarding deliveries and inventory-related concerns. The ideal candidate is highly organized, detail-oriented, comfortable working with regulated inventory, and capable of maintaining accuracy in a fast-paced environment. Key Responsibilities - Delivery Coordination and Receiving Maintain an accurate and up-to-date delivery schedule. Monitor designated email accounts and communication channels throughout each shift for delivery updates, changes, and vendor communications. Coordinate with store leadership to ensure appropriate staffing and secure receiving space for scheduled deliveries. Ensure delivery drivers follow the dispensary's visitor, security, and sign-in procedures. Confirm that the delivering agent has the required identification and authorization. Retrieve and review electronic manifests in Metrc before accepting custody of a shipment. Verify the date, time, vendor, package count, Metrc package tags, product descriptions, quantities, and supporting invoice information. Confirm that all packages are secure, undamaged, appropriately labeled, and consistent with the electronic manifest. Document the transfer of custody, including the delivering agent's signature or identification number, in the electronic manifest. Maintain all required manifests, invoices, delivery records, and supporting documentation according to Bloom policy and Maryland record-retention requirements. Product Inspection and Processing Keep newly received cannabis products physically segregated from available inventory until inspection and processing are complete. Inspect each product for damaged or compromised packaging, labeling accuracy, expiration information, quantity, potency information, and other required product details. Immediately identify and segregate products that are damaged, mislabeled, expired, recalled, inconsistent with the manifest, or otherwise unsuitable for sale. Work with the General Manager, compliance, and purchasing teams when a package must be rejected, placed on hold, quarantined, returned, or otherwise corrected. Receive approved products accurately in Metrc and Dutchie. Ensure Dutchie receipt places products into the designated processing room or inventory location. Process deliveries in an organized, delivery-by-delivery sequence without unnecessarily skipping between shipments. Label, organize, box, bin, and store products according to Bloom's inventory and physical-handling standards. Ensure cannabis inventory is completely processed and placed into its appropriate final status within 48 hours of receipt. Release products for sale once inspection, labeling, pricing, and system entry are complete. Place products on hold when existing inventory should be sold through before a newly received batch becomes available. Ensure accessories are entered into Dutchie and made available within 48 hours of receipt. Inventory Accuracy and Compliance Maintain accurate, timely, and consistent inventory records in Metrc, Dutchie, and applicable internal systems. Confirm that physical inventory, Metrc inventory, and Dutchie inventory remain aligned. Support required monthly physical inventory counts and any additional cycle counts or audits established by Bloom. Investigate inventory discrepancies promptly and document all findings and corrective actions. Report delivery and inventory discrepancies immediately to the General Manager. Escalate unresolved shipment discrepancies to compliance and store leadership in sufficient time to meet Maryland's required reporting deadlines. Maintain organized discrepancy, quarantine, recall, return, and destruction areas. Ensure recalled, returned, damaged, expired, or otherwise restricted products are clearly identified, secured, and prevented from being sold. Support compliant green-waste, return-to-vendor, and product-destruction procedures. Help identify patterns that may indicate receiving errors, inventory loss, theft, diversion, or process failures. Follow all Maryland Cannabis Administration regulations, Bloom standard operating procedures, security requirements, and inventory-control policies. Ensure actual store practices remain consistent with the dispensary's approved standard operating procedures. Maintain delivery and inventory records in a condition that is organized and readily available for internal audits or MCA inspection. Pricing, Invoices, and Product Setup Verify that received products and quantities match the applicable invoice and purchase order. Confirm that product costs and retail prices are accurate and consistent with the approved pricing or MSRP documentation. Enter or verify new products, strains, categories, package information, pricing, and other required data in Dutchie. Identify invoice discrepancies and work with purchasing and the vendor to obtain corrections. Update invoices with all necessary receiving information before submitting them to the purchasing or accounting department. Maintain clear communication with purchasing regarding shortages, overages, substitutions, damaged products, incorrect items, pricing issues, and rejected packages. Track accessory receipts, sales, and inventory levels and communicate replenishment needs. Coordinate the return or disposal of outdated sample jars, displays, and other merchandising materials as directed. Cross-Functional Communication Serve as the primary store-level contact for delivery and receiving matters. Maintain clear and professional communication with vendors, drivers, purchasing, compliance, marketing, accounting, and dispensary leadership. Keep store leadership informed of scheduled deliveries, delays, rejected packages, discrepancies, product holds, and unresolved issues. Inform the dispensary team when new products have been fully processed and released for sale. Provide staff with accurate information regarding new products, pricing, promotions, product availability, and upcoming deliveries. Prepare and submit required product, inventory, delivery, or marketing reports for leadership review. Communicate process failures or recurring vendor issues and recommend practical corrective actions. Participate in inventory meetings, compliance reviews, audits, and operational planning as requested. Additional Operational Support Assist with online-order fulfillment and other approved dispensary responsibilities when delivery and inventory duties are current. Help maintain a clean, secure, sanitary, and orderly processing room, inventory area, vault, receiving area, and workspace. Assist with product organization, stock rotation, expiration monitoring, and first-in, first-out practices where appropriate. Train and support authorized team members on receiving, product processing, inventory control, and discrepancy-reporting procedures. Complete other duties reasonably assigned by the General Manager or regional leadership. Qualifications and Requirements Must be at least 21 years of age. Must possess or be eligible to obtain and maintain all registrations, credentials, and approvals required by the Maryland Cannabis Administration. Previous experience in cannabis inventory, dispensary operations, regulated retail inventory, warehouse receiving, or delivery coordination is preferred. Experience using Metrc and Dutchie is strongly preferred. Working knowledge of Maryland cannabis inventory, receiving, chain-of-custody, storage, quarantine, recall, and recordkeeping requirements is preferred. Strong organizational skills and exceptional attention to detail. Ability to accurately compare physical products against electronic manifests, invoices, purchase orders, and system records. Ability to recognize and escalate discrepancies, damaged products, labeling issues, and potential compliance concerns. Strong written and verbal communication skills. Ability to work independently while collaborating effectively with store leadership and cross-functional departments. Ability to prioritize multiple deliveries, deadlines, and administrative responsibilities in a fast-paced environment. Proficiency with Microsoft Office, email, spreadsheets, and inventory-tracking systems. Ability to maintain confidentiality and exercise sound judgment when handling regulated inventory and business records. Reliable attendance and the flexibility to work around scheduled deliveries when operationally necessary. Ability to safely lift, move, organize, and store product cases and inventory consistent with the physical requirements of the position. Physical inventory consistently aligned with Metrc and Dutchie. Delivery discrepancies identified and escalated immediately. Quarantine, discrepancy, recall, and processing areas kept organized and current. Invoices and receiving documentation completed accurately and submitted on time. New products priced, entered, labeled, and released without unnecessary delay. Clear and consistent communication with leadership, purchasing, vendors, compliance, and store staff.
