Douglas Manor is seeking a dedicated and service-focused Venue Coordinator to join our team! This position supports the venue's day-to-day operations and helps provide a smooth, organized, and memorable experience for clients hosting weddings, corporate functions, celebrations, and other special events. The Venue Coordinator will work closely with clients and vendors, provide exceptional service from the initial venue tour through event day, and ensure venue policies, schedules, and other requirements are followed. This position will also be responsible for managing the venue's social media presence, including content creation, scheduling and publishing posts, monitoring engagement, and responding to messages and comments. The Venue Coordinator reports directly to the Venue and Marketing Director.Key Responsibilities:
Event-Day Vendor Coordination:
Serve as the venue's point of contact for vendors, address venue-related questions, coordinate venue access and logistics, and ensure vendors follow established rental policies and timelines.
Client Experience:
Provide attentive, personalized service from the initial venue tour through event completion, making every client feel valued.Venue Readiness:
Between events, ensure the venue remains clean, organized, properly maintained, and tour/event ready.- Venue tours: Lead tours for prospective clients, answer questions, and assist with converting inquires into bookings.
Venue Administration & Compliance:
Schedule venue tours and client meetings; managing invoices, required vendor documentation, and other venue-related administrative tasks; and communicate and enforce venue security requirements and rental policies.
Social Media Management:
Plan, Create, schedule, and publish content across the venue's social media platforms; monitor engagement; respond to messages and comments; and maintain a consistent, professional brand presence.Qualifications:
- Event, hospitality, administrative, or customer service experience is preferred; venue-specific training will be provided.
- Strong organization and problem-solving skills, with the ability to multitask, remain calm under pressure, and resolve unexpected issues quickly and professionally.
- Exceptional customer service and relationship-building skills, with a commitment to providing personalized care that makes every client feel valued and supported from booking through event completion.
- Ability to work a flexible schedule, including select weekdays, evenings, weekends, and occasional holidays.
- Experience creating graphics and short-form video content using platforms such as Canva, Instagram, Facebook, and TikTok.
- Demonstrated experience managing social media accounts for a business or organization is required, including content creation, scheduling posts, monitoring engagement, responding to messages and comments, and maintaining a consistent brand presence.
