Work Hours:
8:00 AM - 5:00 PM Raise is currently hiring a contract team member on behalf of our client. They're expanding their team to meet growing needs, making this a unique opportunity to work with an industry leader. Overview Directly interfaces with customers by creating sales quotations, order acknowledgements, order status updates, and RMA returns related to spare parts sales activities. This position requires prompt response and action to customer orders and inquiries while multi-tasking in a fast-paced environment. Creates delivery notes proactively by coordinating with warehouse and logistics teams to meet on-time-delivery objectives. Provides first-level customer service to both external and internal customers and programs, while coordinating spare demand with Materials Planning & Purchasing teams to secure material availability.
Responsibilities Sales Order Management:
Perform spares sales order entry, quotation creation, order acknowledgements, order changes, order status tracking, fulfillment coordination, and occasional invoicing.
System Accuracy & Verification:
Verify spares order booking in the SAP ERP system for complete data accuracy (customer details, part numbers, quantities, pricing/discounts, shipping terms, and delivery dates). Ensure compliance with customer RFQs, contracts, or Sales Catalogs.
Customer Communication:
Monitor and maintain group Outlook mailboxes and customer internet portals promptly. Professionally answer inquiries, order changes, and expedite requests via email and phone.
Delivery Performance & Issues:
Track backorders and delivery metrics with Purchasing, Material Planning, and Distribution teams. Address customer complaints, issue RMAs/credit memos, provide missing documentation, and track disputed shipments to prevent recurrence.
Qualifications Education & Experience:
AA/AS degree with 1+ year of related experience, or a High School Diploma/GED with 2+ years of relevant experience (Customer Service, Sales Order Administration, Supply Chain, Distribution, Purchasing, or Inventory/Production Control).
Skills & Abilities:
Strong written/verbal English communication, organizational skills, and mathematical capabilities to calculate totals, discounts, credits, and percentages. Ability to multitask and troubleshoot issues independently.
System Knowledge:
Mandatory experience with MS Office (Word, Excel, PowerPoint, Outlook shared mailboxes).
Legal & Work Environment:
Must be legally eligible to work in the country and thrive in an open office setting. Preferred Qualifications 1-3 years of experience in Customer Service or Sales Order Administration. Hands-on experience with SAP ERP (Sales Order Management and basic inventory/MRP functions). Previous spare parts support experience in airline, aviation, or electronics manufacturing/repair industries. Knowledge of Import/Export regulations, Incoterms, and Purchase Order terms & conditions.
