Residential Behavioral Health Group Homes Guest House Recovery Homes Location:
West Valley, Surprise, Litchfield Park, Goodyear, Glendale, Arizona Job Type:
Full-time, on-site
Starting Pay:
$25.00 per hour
Schedule:
Monday through Friday, with occasional emergency support as needed Reports to:

Regular local travel between four residential behavioral health homes About Guest House Recovery Homes Guest House Recovery Homes operates four licensed residential behavioral health homes serving adults throughout the West Valley. We provide structured and supportive residential services while maintaining a strong focus on resident safety, regulatory compliance, consistent staffing, accurate documentation, and quality care. About the Position We are seeking an experienced and highly organized Program Coordinator to support operations across our residential behavioral health homes. This position works closely with the Program Manager, House Managers, Human Resources, and clinical leadership to coordinate facility compliance, personnel onboarding and credentialing, staffing support, census reporting, resident transportation, and appointment oversight. The ideal candidate understands how residential group homes operate and can manage multiple priorities, conduct facility rounds, identify concerns, monitor corrective actions, and ensure unresolved issues are communicated through the appropriate chain of command.
Essential Duties and Responsibilities:
Facility Compliance Conduct scheduled compliance rounds at each residential home. Review facility records, logs, required postings, environmental conditions, safety requirements, and assigned operational documentation. Identify and document compliance or operational deficiencies. Communicate required corrective actions to the appropriate House Manager or department. Monitor correction deadlines and verify completion. Escalate overdue, repeated, serious, or unresolved concerns to the Program Manager. Assist with preparation for licensing, managed-care, health-plan, accreditation, and regulatory reviews. Support consistent procedures and documentation practices across all locations. Personnel Onboarding and Credentialing Coordinate onboarding documentation for newly hired employees. Review qualifications, fingerprint clearance cards, CPR and First Aid certifications, TB records, health documentation, orientation records, and required training. Maintain accurate, confidential, organized, and audit-ready personnel files. Prepare employee files for final clearance before independent shift work. Communicate employee clearance status to management and scheduling personnel. Monitor credentials and certifications for expiration. Issue expiration notifications at 60, 30, and 15 days. Follow up on missing, incomplete, expired, or questionable documentation. Conduct routine personnel-file audits and report identified deficiencies. Support secure electronic personnel and onboarding record systems. Staffing Support Support staffing and scheduling coordination across all homes. Maintain current information regarding employee availability, qualifications, credentials, and clearance status. Communicate staffing shortages and open shifts to House Managers and the Program Manager. Assist with identifying available employees when coverage needs arise. Coordinate staffing information when employees work at multiple locations. Provide secondary emergency shift coverage only when other reasonable coverage options have been exhausted. Census Tracking Maintain an accurate daily census for all residential homes. Track admissions, discharges, hospitalizations, temporary absences, bed availability, and resident status changes. Reconcile census information with House Managers, leadership, and billing personnel. Identify and resolve census discrepancies. Prepare census information for operational and billing reports. Communicate significant census or bed-availability changes promptly. Resident Transportation and Appointment Oversight Monitor transportation and appointment schedules across all homes. Confirm that House Managers have arranged transportation and assigned staff for scheduled appointments. Track medical, behavioral health, legal, clinical, and other approved appointments. Follow up on missed, delayed, cancelled, rescheduled, or unconfirmed appointments. Monitor appointment completion and required follow-up. Communicate concerns to the appropriate House Manager, clinical team member, and Program Manager. Assist with resolving urgent transportation barriers when necessary. Program Coordination Maintain regular communication with the Program Manager, House Managers, Human Resources, and clinical leadership. Track assigned operational and compliance concerns through resolution. Prepare accurate written reports and leadership updates. Participate in leadership, compliance, staffing, and operational meetings. Maintain confidentiality when handling employee and resident information. Ensure documentation clearly identifies findings, responsible parties, correction deadlines, and verification of completion. What We Are Looking For We need someone with direct knowledge of residential group-home operations—not solely general administrative experience.
The successful candidate will:
Understand staffing, documentation, transportation, appointments, census, and compliance requirements in a residential setting. Be comfortable conducting facility rounds and identifying deficiencies. Manage responsibilities across multiple homes and competing deadlines. Follow through without repeated reminders. Communicate professionally with House Managers, direct-care staff, clinical personnel, and leadership. Know when an issue can be handled routinely and when it requires immediate escalation. Maintain accurate records and protect confidential information. Be organized, dependable, consistent, and able to close operational and compliance loops. Required Qualifications High school diploma or equivalent. Previous experience in behavioral health, healthcare, developmental-disability services, residential care, human services, or another regulated environment. Experience with residential program coordination, facility operations, compliance, employee onboarding, credentialing, staffing, or administrative support. Demonstrated understanding of group-home operations. Strong organizational, time-management, and problem-solving skills. Excellent attention to detail and follow-through. Strong written and verbal communication skills. Ability to work independently and coordinate responsibilities across multiple locations. Proficiency with email, spreadsheets, electronic records, and standard office technology. Valid driver's license, reliable transportation, and ability to travel throughout the West Valley. Preferred Qualifications Bachelor's degree in behavioral health, healthcare administration, human services, social services, business administration, organizational leadership, or a related field. Direct experience in a residential behavioral health group home. Experience working in an Arizona Behavioral Health Residential Facility. Familiarity with Arizona BHRF licensing requirements and A.A.C. Title 9, Chapter 10, Article 7. Knowledge of AHCCCS or managed-care compliance requirements. Knowledge of Behavioral Health Technician credentialing requirements. Experience conducting facility compliance audits or personnel-file reviews. Experience preparing documentation for licensing, regulatory, managed-care, or health-plan reviews.
