Job title Program Coordinator & Executive Secretary Reports to Director of the Office for Divine Worship Location Office for Divine Worship, Archdiocesan Pastoral Center FLSA Status Non-exempt EEOC Classification Administrative support workers The Archdiocese of Philadelphia and its entities is a Roman Catholic religious organization and that all employees are expected to respect and conduct themselves in accordance with the values, teachings, and morals of the Roman Catholic Church. Job purpose The Program Coordinator and Secretary for the Office for Divine Worship is a full time position and supervised by the Director of the Office. The Program Coordinator and Secretary assists with the responsibilities and programs of the Office for Divine Worship and provides the management support and for the daily interfacing with the staff of the Office. Duties and responsibilities Coordinates liturgical and music programs of the Office for Divine Worship. Including celebrations for Christian Initiation. Send letters and appropriate forms for the celebrations of the Sacred Liturgy for the Archbishop and other Archdiocesan Celebrations, including Funerals for Priests and Deacons.

Prepares the liturgical planning information for the Archbishop and other Archdiocesan Celebrations of the Sacred Liturgy.

Assists with the preparation of worship aids.

Assists with the payment of bills and payroll.

Prepares correspondence and mailings.

Prepares Monthly Mailing for priests.

Oversees websites.

Maintains the master calendar of workshops, events, and meetings etc., for the staff of the Office for Divine Worship.

Maintains electronic and hard copy files.

Maintains the copyright procedures for Gift of Finest Wheat and copyright licenses.

Places and receives all phone calls and general e-mails.

Sorts and distributes mail.

Arranges for Conference Room use, parking needs and lunch tickets.

Maintains technical needs, stationery supplies and general office needs.

Participates in periodic review with the Director of the Office for Divine Worship.

Maintains the budget for the Office for Divine Worship. Qualifications BA degreeExcellent skills in communication, collaboration, organization, planning and technology.

Ability to establish and maintain effective working relationshipsActive member of the Church and registered in his/her parish. Working conditions No special working conditions at this time. Physical requirements While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tool or controls; reach with hands and arms; climb stairs; talk or hear. The employee must occasionally lift or move office products and supplies, up to 25 lbs. Direct reports None at this time.
