We are seeking a detail-oriented Project Coordinator to support construction projects from initiation through closeout. The Project Coordinator will manage administrative tasks, maintain project documentation, coordinate communication among stakeholders, and support scheduling, permitting, and billing activities. This role ensures that RFIs, submittals, change orders, purchase orders, and project logs are tracked accurately and that project teams have the information and resources needed to meet milestones. Key Responsibilities Maintain and organize project documentation, including RFIs, submittals, change orders, permits, purchase orders, and billing records.
Manage and update project logs and trackers to ensure accurate, up-to-date records of issues, actions, and decisions.
Coordinate with project managers, field teams, subcontractors, vendors, and clients to facilitate timely communication and resolution of project needs.
Prepare and process purchase orders, invoices, and billing submissions; assist with month-end close and billing reconciliation.
Support scheduling activities by maintaining project schedules, updating milestones, and coordinating meeting logistics and site access.
Create, edit, and distribute project correspondence, meeting minutes, and reports using Microsoft Office and project management platforms.
Administer and maintain project data in Procore (or similar construction management software), including uploading documents, logging RFIs and submittals, and tracking change orders.
Assist with permitting processes by preparing permit applications, tracking approvals, and coordinating with authorities having jurisdiction.
Monitor submittal and RFI status and follow up with responsible parties to maintain project progress.
Support quality control and compliance efforts by ensuring documentation meets contract requirements and managing document control procedures. Qualifications Associate degree or equivalent in Construction Management, Business Administration, or related field; Bachelors degree preferred.
1-3 years of experience in construction administration, project coordination, or related role preferred.
Proficient with Procore or similar construction management platforms; experience logging RFIs, submittals, and change orders.
Strong administrative skills with experience handling purchase orders, billing, invoicing, and project documentation.
Experience with permitting processes, scheduling support, and coordinating project stakeholders.
Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) with strong document preparation and spreadsheet skills.
Excellent written and verbal communication skills and strong attention to detail.
Ability to manage multiple priorities, meet deadlines, and work collaboratively in a fast-paced construction environment.
Familiarity with project logs, job costing basics, and construction billing procedures.
Organized, proactive, and able to adapt to changing project needs; reliable transportation for occasional site visits preferred.
