A Purchasing Assistant assists buyers and staff in the purchasing or procurement department of a business or store. Assists with checking and completing purchase orders, communicates with vendors and suppliers, maintains records and provides data entry.
We are seeking an exceptionally organized and detail-oriented Administrative Assistant & Purchasing Clerk to serve as the operational backbone of our organization. In this dual-capacity role, you will provide in-depth, proactive support to the buying team, while simultaneously ensuring our 30-person office runs with precision and professionalism. The ideal candidate is a master of logistics who thrives in the details. You are the type of person who spots the error before anyone else, anticipates needs before they are spoken, and takes pride in creating an environment—both virtually and physically—that allows leadership and staff to do their best work.
Responsibilities:
Administrative Assistant Confidentiality:
Handle sensitive and confidential information with the utmost integrity and sound judgment.
Stakeholder Liaison:
Act as the primary gatekeeper and point of contact for internal and external stakeholders, treating all interactions with professionalism, grace, and discretion.
Complex Travel Logistics:
Plan and execute seamless domestic and international travel itineraries, including flights, lodging, and ground transportation, ensuring zero friction in the travel experience.
First point of contact:
greet visitors entering the company, answer and direct calls, handle incoming and outgoing mail and deliveries, tidy and maintain the reception area.
Operational Excellence:
Serve as the "Go-To" Office Manager general administrative and clerical duties, including photocopying, fax and mailing, scheduling meetings, preparations for new hires and client visits.
Inventory & Vendor Management:
Proactively manage inventory (kitchen, coffee, office supplies) to ensure we never run low on essentials. Liaise with vendors and service providers to ensure quality delivery of services.
Culture Carrier:
Assist in creating a positive office culture by ensuring the environment is professional and conducive to productivity.
Special Projects:
Support ad hoc administrative projects and presentations.
Purchasing Clerk Inventory Management:
Maintain inventory list and procure all facilities' material and consumables in a timely manner.
Master Negotiator:
Negotiate supplier pricing, terms and delivery.
Vendor Management:
Maintain active vendor list and evaluate service levels on a regular basis.
Special Projects:
Provide back-up for receiving and shipping on need-basis.
Required Skills:
Excellent organizational skills and attention to detail. Excellent written and verbal communication skills. Strong negotiation skills. Ability to operate general office equipment. Proficient in Microsoft Office Suite or similar software. Ability to analyze issues and recommend corrective action in a fast-paced environment. Multitasking with an extreme sense of urgency. Flexibility to work scheduled hours and extra hours as required. Attention to detail and accuracy.
Preferred Skills:
Extensive knowledge of office management systems and procedures. Knowledge of customer service principles and practices.
Minimum Qualifications:
High school diploma or equivalent.
Preferred Qualifications:
Prior experience as an Administrative Assistant. Demonstrated experience successfully balancing dual roles.
Physical Requirements:
Must be able to sit and/or stand for long period of time. Must be able to lift up to 30 lbs. on a regular basis. Work environment may involve exposure to potentially dangerous materials and situations that require following detailed safety precautions (wearing respirators, handling hazardous materials, working with industrial machinery, etc.)
