THE PERSON WHO KEEPS EVERYTHING MOVING. A

growing professional services organization in Carlsbad is looking for an Office Operations Coordinator to become a central part of its day-to-day operations. This position is perfect for someone who is naturally organized, enjoys solving problems, and doesn't need to be told what needs to be done next. You'll work across administration, vendors, facilities, purchasing, employee support, scheduling, and special projects, making this a much broader opportunity than a traditional Administrative Assistant position.

WHAT YOU'LL BE DOING

+ Coordinate daily office operations and administrative needs

+ Manage office supplies, equipment, and inventory

+ Communicate with vendors and building management

+ Coordinate maintenance and facility requests

+ Assist with employee onboarding logistics

+ Schedule meetings and internal events

+ Prepare documents, spreadsheets, and reports

+ Process purchase orders and office-related invoices

+ Maintain organized digital and physical records

+ Coordinate visitors and office access

+ Assist with travel and meeting arrangements

+ Support leadership with special projects

+ Help develop and improve administrative procedures

+ Track office expenses and operational requests

+ Serve as a go-to resource for employees needing operational support Requirements + 2-4 years of administrative, office operations, or coordinator experience

+ Strong Microsoft Office skills

+ Excellent organizational abilities

+ Professional written and verbal communication

+ Comfortable working independently

+ Strong follow-through and attention to detail

+ Experience coordinating vendors or facilities is a plus
