Job Description
Studio Operations Coordinator Rêver Design Co. San Juan Capistrano, CA 30-40 hours per week | $30-40/hour DOE Primarily in-person, flexible schedule About Rêver Rêver Design Co. is a growing luxury residential interior design studio based in San Juan Capistrano, California, with projects throughout Southern California and beyond. Our work is creative and deeply personal. Behind that work is a fast-moving studio managing multiple residential projects, clients, architects, contractors, vendors, installations, meetings, and opportunities at once. We're looking for a Studio Operations Coordinator to help bring structure to all of it. This person will work closely with our Founder & Principal Designer and Senior Designer to keep the day-to-day business organized, projects moving, communication flowing, and the Principal focused on the work that requires her attention. This is not an interior designer position, and interior design experience is not required. We're looking for an exceptional operator: someone proactive, organized, resourceful, communicative, and very good at making things happen. The Role The Studio Operations Coordinator will sit at the center of the studio's day-to-day activity. You'll know what meetings are coming up, what information we're waiting on, which vendor needs a follow-up, what needs the Principal's attention, what can be routed directly to another team member, and what you can simply handle yourself. A significant part of the role will also involve supporting and protecting the Founder & Principal's time. This includes helping manage the calendar and inbox, coordinating meetings and travel, preparing her for upcoming commitments, tracking follow-ups, and filtering the constant stream of information that comes with running a growing creative business. We don't expect you to walk in knowing every detail of the interior design industry, but instead to be the kind of person who notices what needs to happen next and takes initiative to make it happen. What You'll Do Studio
+ Project Operations Track outstanding action items across active projects and proactively follow up on them Coordinate meetings, site visits, presentations, vendor appointments, deliveries, and installations Communicate with clients, architects, contractors, vendors, showrooms, workrooms, and other project partners Request and track pricing, quotes, lead times, product ETAs, and outstanding information Follow up with project partners to keep deliverables moving Help maintain accurate and current project information in our project management software, Programa Coordinate information between the Principal, design team, clients, and external partners Help prepare for weekly client updates and internal project reviews Identify stalled items, upcoming deadlines, and potential issues before they become urgent Support installation logistics and other project coordination as needed Help maintain an organized, functional studio environment Coordinate studio vendors, deliveries, samples, appointments, and occasional events Founder
+ Executive Support Manage and strategically organize the Founder's calendar Coordinate client meetings, internal meetings, site visits, appointments, and occasionally coordinate travel Help triage incoming email and communication Determine what requires the Founder's attention, what should be routed to another team member, and what can be handled independently Draft routine correspondence and independently respond to appropriate communications Prepare the Founder for upcoming meetings with relevant information, documents, agendas, and outstanding decisions Track commitments and follow-ups so they don't live solely in the Founder's head Help prioritize competing demands and protect focused time for creative direction, design, client relationships, and business development What This Role Does NOT Own We believe strongly in creating clear, sustainable roles. The Studio Operations Coordinator helps facilitate and organize the work of the studio but is not responsible for interior design decisions or technical design production. You will not be expected to select materials, design rooms, produce construction drawings, or manage the creative direction of a project. Your role is to make sure the people responsible for those things have the information, time, coordination, and support they need to do them exceptionally well. Experience We're open to candidates from a variety of professional backgrounds. Experience in any of the following would be especially relevant: Studio or office operations Project coordination Executive assistance Interior design or architecture firms Construction or real estate Luxury hospitality High-end client service Event or production coordination Other fast-paced, detail-oriented creative businesses Interior design experience is a plus, but not required . Experience with Google Workspace and project management software is preferred. Experience with Programa is a bonus, but we can teach the right person. More important than knowing our exact systems on day one is demonstrating excellent judgment, organization, communication, initiative, and follow-through. Schedule
+ Location This role is based primarily in our San Juan Capistrano studio and is not a fully remote position. We anticipate approximately 30-40 hours per week , generally spread across the Monday-Friday workweek, with Mondays in office being mandatory. We're intentionally allowing some flexibility in the initial schedule as we build the role around the right person, with the opportunity for the position to grow into a full-time role. Occasional local travel throughout Southern California for project sites, showrooms, installations, meetings, and errands related to studio operations will be required. Reliable transportation is necessary. Compensation $30-40/hour, depending on experience. We are looking for someone who can grow with the studio, and there is meaningful opportunity for the scope and seniority of this position to evolve as Rêver continues to grow. For the right person, we see a potential path from Studio Operations Coordinator → Studio Operations Manager as the company expands. About Working at Rêver Rêver is a small, ambitious studio.
