Job Description
Job Overview We are a fast-growing industrial equipment company specializing in forklift sales, rentals, maintenance, parts, and warehouse solutions. Our customers include businesses in warehousing, logistics, manufacturing, food distribution, retail, and other industrial sectors. We work closely with leading equipment manufacturers, suppliers, and enterprise customers to deliver reliable equipment and responsive after-sales support. As our service business continues to grow, we are looking for a motivated Service Operations Coordinator / Management Trainee to join our team. This position is designed for individuals who are interested in developing a long-term career in service operations, customer support, supply chain coordination, and business management. You'll begin by supporting our service operations and gradually gain exposure to equipment service, parts management, supplier coordination, process improvement, and operational leadership. Position Summary The Service Operations Coordinator serves as the communication hub between customers, service technicians, parts suppliers, and internal teams. You will be responsible for coordinating service requests, maintaining accurate service records, following up on repair progress, supporting parts procurement, and ensuring customers receive timely and professional updates. As you become familiar with our products, service workflow, and business operations, you'll take on increasing responsibilities in process improvement, SOP development, operational reporting, and department management. Key Responsibilities Customer Service & Coordination Respond to customer inquiries regarding repairs, maintenance, rentals, and parts. Create and manage service work orders. Coordinate communication between customers, technicians, sales, and internal departments. Provide customers with timely updates on service status and estimated completion. Follow up on open work orders and ensure issues are resolved promptly. Parts & Supplier Support Assist in identifying and ordering replacement parts. Communicate with manufacturers and suppliers regarding pricing, availability, and lead times. Track parts orders, warranty claims, and returns. Coordinate with warehouse staff and technicians to ensure parts are available before service appointments. Service Operations Assist with technician scheduling and service dispatching. Prepare service and parts quotations. Maintain accurate customer, equipment, and service records. Support invoicing, work order closing, and service documentation. Assist with equipment delivery, rental, and after-sales support as needed. Process Improvement Help develop and maintain Standard Operating Procedures (SOPs). Identify opportunities to improve workflows and customer experience. Track service-related KPIs and operational data. Support CRM, service management, and process improvement initiatives. Requirements Bachelor's degree preferred (recent graduates are welcome to apply). 1-3 years of customer service, operations, logistics, or related experience is a plus. Strong verbal and written communication skills. Excellent organizational and multitasking abilities. Strong attention to detail and problem-solving skills. Proficient in Microsoft Office (Excel, Word, Outlook). Interest in industrial equipment, forklifts, warehouse operations, or technical products. Excellent organizational skills with a focus on time management and prioritization in fast-paced environments. Strong communication skills for effective collaboration with diverse teams and customers.
