Branch Operations Coordinator Maven Landscapes Austin, TX Job Details Full-time From $60,000 a year 15 hours ago Benefits Health insurance Dental insurance Paid time off Vision insurance Qualifications Teamwork Fleet management Hiring Attention to detail Landscaping Full Job Description Overview Maven Landscapes is seeking an organized, proactive Branch Coordinator to help keep our daily landscaping operations running smoothly. This position serves as a central point of coordination between our field crews, Account Managers, management, vendors, and office team. This is not a traditional administrative assistant position . The Branch Coordinator plays an active role in daily operations by coordinating schedules, preparing crews for upcoming work, managing purchasing and inventory needs, monitoring open items, and solving problems that could prevent work from being completed efficiently. We are looking for someone who takes ownership, anticipates needs, follows through, and is comfortable making routine decisions without waiting for step-by-step direction. Key Responsibilities Coordinate daily and weekly crew schedules and make adjustments as priorities change Help ensure crews are prepared with the correct job information, materials, equipment, and property instructions Review upcoming work and identify potential scheduling, staffing, equipment, material, or access issues before they affect production Coordinate with Account Managers regarding scheduling, service requests, work completion, and operational issues Maintain accurate work tickets, notes, purchase orders, job statuses, and other information in Aspire Coordinate purchasing, vendor orders, deliveries, and material needs Maintain and monitor branch inventory, including irrigation, IPM, safety supplies, uniforms, and other operational supplies Coordinate vehicle and equipment repairs and follow up until issues are resolved Review employee time entries and assist with weekly payroll preparation Assist with employee hiring, onboarding, paperwork, uniforms, and employee records Coordinate employee travel needs, including hotels, per diem, mileage, and reimbursements when needed Monitor open jobs, work orders, purchase orders, and operational issues to ensure nothing falls through the cracks Assist with keeping the office, yard, vehicles, and operational areas organized Respond quickly to schedule changes, weather delays, employee absences, equipment issues, and other daily operational challenges Identify recurring problems and recommend ways to improve branch processes and efficiency What Success Looks Like A successful Branch Coordinator keeps work moving. Crews know where they are going, what they are doing, and have what they need to complete the work. Schedules and records are current, open issues are followed through to completion, and potential problems are addressed before they become emergencies. Success in this position also means reducing preventable delays, keeping crews productive, maintaining organized branch operations, and solving routine problems without requiring constant management direction. What We're Looking For Highly organized with strong attention to detail Proactive and able to anticipate needs rather than waiting for assignments Strong problem-solving and decision-making skills Excellent follow-through and ability to manage multiple open items at once Comfortable working in a fast-paced environment where priorities may change throughout the day Strong communication skills with both field and office employees Able to respectfully hold employees accountable to schedules and expectations Comfortable learning and using scheduling, purchasing, and field-service software Able to work independently while knowing when an issue needs to be escalated Willing to identify inefficient processes and suggest better ways of doing things Preferred Experience Experience in landscaping, construction, field services, dispatching, scheduling, logistics, or another crew-based operation is preferred. Experience with purchasing, inventory, fleet/equipment coordination, employee onboarding, timekeeping, or operational software is also helpful. Experience with Aspire or similar field-service management software is a plus but not required.
