Operations Assistant (Front Desk & Administrative Support)
Location:
Hartland, WI Compensation:
$16.00/hour starting
Schedule:
15-25 hours per week (weekday and occasional weekend flexibility required for special events); schedule dependent on shared building schedule with Operations Manager About Us At Solmira Wellness Collective , we are a collaborative community of practitioners dedicated to helping individuals live vibrantly through integrative health and holistic care. Our collective includes chiropractic, physical therapy, massage, Pilates, movement, and mindfulness professionals working together in a supportive, client-centered environment. We're seeking a detail-oriented and compassionate Operations Assistant to staff the front desk, provide administrative support, and ensure smooth daily operations. This position is ideal for someone who thrives in a people-focused setting and values organization, professionalism, and confidentiality. Key Responsibilities Greet and check in clients with warmth and professionalism, creating a welcoming experience that reflects the Solmira ethos. Manage scheduling, phone calls, and client communications using our practice management system. Ensure HIPAA compliance at all times when handling sensitive patient information and records. Assist with billing coordination, intake forms, and appointment confirmations. Maintain office cleanliness, organization, and supply levels. Support practitioners with operational needs, including communication and scheduling across disciplines. Qualifications Previous experience in a healthcare, wellness, or administrative setting preferred Strong computer and data-entry skills Working knowledge of HIPAA regulations and patient confidentiality standards Excellent communication and multitasking abilities Friendly, professional demeanor with strong attention to detail Reliable, punctual, and proactive problem solver Comfortable learning scheduling and documentation systems (training provided) Ideal Candidate You're the calm center in a busy environment — grounded, organized, and people-focused.
