Job Description
Position Summary The Customer Service / Account Specialist is responsible for providing professional front-office customer support while assisting with accounting and administrative functions. This position serves as an important point of contact for customers, vendors, employees, and visitors and requires strong customer service, organizational, and communication skills. The successful candidate will be dependable, accurate, efficient, and able to manage multiple responsibilities in an office environment. Essential Duties and Responsibilities Responsibilities include, but are not limited to:
- Answer calls and assist customers with questions and solutions in a professional and courteous manner.
- Greet and assist walk-in customers, vendors, employees, and visitors with questions in a friendly and helpful manner.
- Document relevant information and ensure it is shared with appropriate coworkers in a timely manner.
- Accurately handle cash, checks, and other forms of payment.
- Assist with daily or periodic reconciliation processes.
- Assist with processing and preparing customer statements.
- Perform data entry and maintain accurate records.
- Assist with accounting, accounts payable, accounts receivable, and other recordkeeping functions as assigned.
- Utilize Microsoft Word, Excel, and other IT and accounting systems for correspondence, reports, spreadsheets, and other administrative functions.
- Perform 10-key data entry accurately and efficiently.
- Maintain organized files and records.
- Prioritize work assignments and meet established deadlines.
- Maintain confidentiality of employee, customer, and company information.
- Crosstrain with other office staff to minimize disruptions during staff absences.
- Assist other departments as needed.
- Complete special projects and additional duties as assigned. Preferred Qualifications and Experience
- Experience with Microsoft Word and Excel, including spreadsheets.
- Strong 10-key and data processing skills.
- Previous cash-handling experience.
- Strong customer service skills, both in person and over the telephone.
- Accounting or bookkeeping experience.
- Strong attention to detail with a high level of accuracy.
- Ability to work efficiently while maintaining quality and accuracy.
- Ability to follow established policies and procedures.
- Ability to multi-task and manage competing responsibilities.
- Ability to prioritize workload and meet deadlines.
- Strong organizational and communication skills.
- Ability to work independently as well as collaboratively as part of a team.
- Must be friendly, dependable, professional, and flexible.
- Willingness to assist with duties and special projects outside of normal day-to-day responsibilities as needed.
