(KCS) is a nonprofit 501(c)(3) multi-service organization supported by government agencies, foundations, corporations, and individuals. KCS aims to develop and deliver a broad range of social service programs to meet the community's various needs. Position Summary The Education Department is seeking a dependable, efficient, and proactive part-time Program Assistant to join our Westchester team. Supporting the Kids Program/Creative Studio, this role provides essential administrative and operational support for our educational and community-based programs. Working closely with program leadership, the Assistant will manage daily logistics, handle core administrative tasks, and provide direct participant support to ensure seamless program operations. Essential Duties and Responsibilities The essential functions include, but are not limited to the following: Manage daily setup and breakdown of classroom spaces, ensuring all materials and equipment are prepared and organized for elementary and middle school Creative Arts classes, as well as the K-pop Dance classes for elementary students. Support lead instructors during class time by assisting with class flow, providing individual attention to accommodate diverse learning styles, and fostering active student participation. Maintain a safe, structured, clean, and welcoming environment adhering to organizational safety protocols and behavioral standards. Assist with tracking attendance, maintaining student progress reports, and providing routine observational feedback to Education Department leadership. Serve as a primary administrative contact for program staff, handling general inquiries, conducting client outreach, sharing resources, resolving minor operational bottlenecks, and assisting with team scheduling. Represent the department at community outreach events to build and maintain strong relationships with local organizations, partners, and government agencies. Assist leadership in gathering, compiling, and organizing program performance data, participant trends, and clerical materials for federal, state, city, and foundation grant applications. Perform general administrative duties as assigned by the supervisor. Education and Experience Requirements High school diploma or equivalent required. Current college enrollment or higher education preferred. Prior administrative or operational experience in education, youth development, or non-profit settings, with previous experience supporting classroom activities or working directly with children, highly preferred. Strong interest and experience working with the AAPI community. Bilingual proficiency in an East Asian language (such as Korean, Mandarin, or Cantonese) is highly preferred to best serve our community demographic. A strong commitment to public service and community advocacy; experience working or volunteering within a non-profit environment is a plus. Minimum Qualifications (Knowledge, Skills, and Abilities) Knowledge A strong understanding of cultural nuances and the ability to interact effectively, empathetically, and adaptively with individuals from diverse, multicultural, and immigrant backgrounds. A basic understanding of or willingness to learn about non-profit operations, youth development, adult education, or ESOL program structures. Strong interpersonal and communication skills, with a proven ability to engage effectively with children and build positive relationships with parents and families. Comfort working with data systems and a basic understanding of documentation standards required for government or foundation funding. Abilities Ability to communicate clearly, persuasively, and empathetically, both verbally and in writing, in the languages necessary to perform the role (English, Korean, or both). This includes the ability to hear, speak, and be understood in the work environment, and to engage effectively with diverse populations and immigrant communities. Proven ability to multitask, balance shifting tasks, and meet routine deadlines efficiently within a part-time schedule. Strong self-direction to complete assigned tasks productively, while remaining a highly collaborative, communicative, and reliable team player. A proactive mindset with the ability to take initiative on daily duties, anticipate routine administrative needs, and use sound judgment to resolve daily operational challenges. Demonstrated capacity to maintain a high level of professionalism, integrity, and strict confidentiality regarding participant and organizational data. Skills Proficient in Google Workspace (Docs, Sheets, Calendar, Gmail) and Microsoft Office Suite (Word, Excel). Ability to provide basic tech support and troubleshooting for instructional staff as needed. Strong verbal, written, and interpersonal communication skills to build welcoming, supportive relationships with staff, participants, families, volunteers, and visitors. Demonstrated capacity to maintain a high level of professionalism, integrity, and strict confidentiality regarding sensitive participant and organizational data. Excellent organizational skills to maintain meticulous, accurate records, assist in gathering program data, and help prepare routine internal updates. A proactive and collaborative team player who enjoys supporting daily office operations, taking initiative on administrative tasks, and helping coworkers resolve everyday workflow challenges.
Pay:
$17.00 - $19.00 per hour Expected hours: 1.0 - 20.0 per week
