10/18/2026 11:59 PM Eastern The Position The Academic & Tutoring Support Services Specialist plays a key role in supporting the operations of academic support services. This position will work closely with other staff across academic support areas. The Specialist will focus on different responsibilities depending on the needs of the specific area they support. Primary responsibilities include overseeing administrative tasks related to the Tutor Management System (Trac Cloud), maintaining data integrity, coordinating with the system's vendor, IT, and OCC's Strategic Initiatives and Effectiveness division; and generating reports to support institutional dashboards and decision-making processes. The Specialist will also contribute to related departmental projects and support training initiatives. While prior tutoring experience is not required, it is preferred. Depending on departmental needs, limited academic support or tutoring-related responsibilities may be assigned.

Part Time 12 months/yr What You Will Do Provide administrative and operational support for tutoring services, including maintaining accuracy of records and documentation. Oversee and manage Trac Cloud data: activate new semesters, update profiles, and ensure accurate logging of 5,000+ tutoring sessions per semester. Coordinate with vendors and IT to troubleshoot issues, recommend system improvements, and implement updates to the Tutor Management System. Generate and compile regular and ad hoc reports for Institutional Research and internal stakeholders using Excel and the Tutor Management System. Provide support and training to staff and tutors and leaders on data tracking, system use, and related administrative processes. Offer general oversight of tutoring spaces. Assist in the development and refinement of tutoring program policies and procedures to enhance service delivery, compliance, and operational efficiency. May provide students with face-to-face and virtual tutorial assistance in various content areas. Support ongoing projects, special initiatives, and other duties as assigned. The Successful Candidate Must Have Bachelor's degree. Two years of experience working in a fast-paced customer-focused environment. Strong proficiency in Microsoft Excel, including experience with data entry, reporting, and formatting. Demonstrated ability to manage multiple administrative tasks and meet deadlines. Experience working with data systems or platforms (e.g., scheduling, tracking, or educational systems). Excellent organizational, communication, and problem-solving skills. Comfortable working independently and collaboratively in a dynamic academic support environment. Even Better If You Have Prior experience with tutoring or academic support services. Experience using Trac Cloud, Canvas, or similar platforms. Familiarity with reporting tools or institutional data processes. Bilingual in English and Spanish (verbal and written).
