Job Description
Financing & Accounting Specialist Confidential - Windows & Doors, Roofing & Baths Company | Full-time | South Florida We are a growing, family-owned company that has been protecting and improving homes across South, West and Central Florida for over 30 years. We are looking for a strong Financing & Accounting Specialist who can own the full cycle of customer accounts — from contract entry and invoicing through collections, lien management, and final payment — while working closely with the Controller, Operations, and Project Managers. This role requires both solid accounting discipline and a firm, proactive approach to collections. Key Responsibilities Including, but not limited to: Enter customer estimates/contracts into QuickBooks once a project number has been assigned by Processing Process daily customer invoices for material deliveries and track related payments Review the CRM and update customer records in QuickBooks for any change orders File Notice of intent to lien & processing liens & retracting liens, while keeping organized reports to track it Track revenue by verifying installation dates and entering invoices for completed jobs that have passed inspection Process job deposit payments, progress payments on financed jobs, and final payments on cash jobs Keeping track of all financing jobs and their expirations dates, while keeping organized reports for tracking, etc. In addition, the loan expiration date will need to be added to the CRM by this candidate. Post all customer payments in both QuickBooks and the CRM (Salesforce/LP) Ensure all invoices are charged to the correct account and project Enter month-end revenue invoices into QuickBooks within 48 hours after month-end Maintain control of open receivables and reconcile customer account discrepancies Prepare and distribute the daily, weekly & monthly A/R aging summary Notify the Operations Department of any open issues holding a payment Research and resolve customer A/R issues as needed Provide additional support to Controller & Upper Management when it's needed Collections, Lien Management & Lender Coordination Drive collections with a direct, firm, and professional approach — referencing contract language and payment terms to secure timely payment Collect payments via cash, Clover link, credit card, or lender Process and carefully track Notices of Intent to Lien, ensuring deadlines are never missed while prioritizing collection efforts that help avoid filing a lien whenever possible Manage financed client accounts: learn and navigate lender portals, provide project updates and clarifications, and coordinate the documents needed for funding upon completion Resolve collections by reviewing payment plans, payment history, and required funding documents Actively pursue final payments on backlog projects that remain open Assist Project Managers by gathering and providing the documents needed prior to installation dates Maintain accurate, up-to-date records in the CRM, including: Loan / financing expiration dates on every project Financing expiration date log Intent to Lien log Lien log What We're Looking For Minimum 3 years of accounts receivable experience (construction or home-improvement experience strongly preferred) Proven ability to be firm and direct on collections while remaining professional Proficient in QuickBooks Online, Excel, and Word Salesforce / CRM experience preferred Strong organizational skills, attention to detail, and the ability to manage multiple logs and hard deadlines Comfortable quickly learning new lender portals and systems Basic understanding of accounting principles and construction contract/payment/lien concepts Self-motivated and eager to grow with a busy, expanding company Why This Role You will have clear ownership of cash flow, work closely with Operations and Project Managers, and play a key part in protecting the company's position on every job.
