Job Description

Job Summary The Administration Assistant/Accounts Payable has responsibility for and assists in various aspects of Central Banc, Inc. and its subsidiaries administrative and operational functions. These include Stockholder Records, tax payments and distributions, Accounts Payable Program, year-end customer and tax notice generation/reporting. The position ensures that governmental reports are filed in a timely and compliant manner. Duties Responsible for administering the accounts payable program for Central Banc, Inc. and its subsidiaries including determining branch allocation and G/L numbers, entering invoice numbers in system and EFT transfers, generating checks, filing invoices and maintaining excel spreadsheets for ST-1 Use Tax returns for invoices paid without state taxes W/H. Responsible for processing of employee reimbursement requests. Electronically deposit customer elected Federal and State withholding from IRA distributions, Trust IRA/Pension distributions, stockholder sales, and DDA interest deposits. Maintain list of IRS reported Underreporters and B Notice customers making sure Backup Withholding is taken from dividend and interest payments and depositing the same through the EFTPS system. Prepares and files the Annual Return of Withheld Federal Income Tax 945. Prepares and files 1120 Corporate Federal Tax deposit, Illinois ST-1 Use Tax Return. Responsible for administering Central Banc, Inc. Stockholder records to include administering and issuing Common Stock, Dividend Reinvestment, and Restricted Stock Awards programs including updating stockholder menu when needed, maintain stockholder list (queries), completing stock transfers, initiate Shazam Compass entries, set up EFT transfers for dividend deposits, shareholder transaction report, dividend checks and G/L entries, generate Annual Stockholder Meeting proxy labels & lists. Maintains year-end Shazam Compass menu, inputs and corrects tax information in yearend file, output and process customer 1099, 1098, and 5498 tax notices, prepares corrected tax notices, and files all tax forms electronically with the
IRS IRIS
system. Keeps abreast of laws and regulations pertaining to company reporting requirements (both customer and government). Assists with all other aspects of the bank as requested. Provides backup support for payroll processing, ensuring accuracy and continuity during absences, vacations or peak periods. meaningful work supporting our office operations while providing opportunities for growth. Knowledge & Skills Ability to deal effectively, tactfully, and patiently with customers and employees of the organization. Ability to define problems and explain ideas and instructions clearly. Must be trustworthy and discreet regarding confidential information. Ability to handle multiple job responsibilities simultaneously, withstand distractions, and grasp and retain information. Desire to initiate changes in work procedures to ensure most efficient use of time and resources. Ability to work under pressure and meet deadlines. Must complete reports accurately and in a timely manner. Has maturity necessary to request additional explanation, instruction, or direction when uncertain of proper procedures; to react positively to constructive criticism and suggestions; to be emotionally mature and resistant to stress. Is flexible in accepting changes in work procedures, supervision and job responsibilities. Must be detailed oriented, competent, and mathematically inclined. Must have a complete understanding of compliance regulations and law relating to IRA's and tax filing reporting. Must be self-motivated to keep abreast of current procedures, regulations and laws. Needs to be competent in computer knowledge and use of related software programs. Position requires a minimum of an Associate's Degree in business or related field and/or over two years through five years' experience in banking operations or a related position in another company.
Pay:
$16.62 - $29.31 per hour Expected hours: 40.0 per week
