Job Description

Position Summary We are seeking an experienced, detail-oriented Accounts Payable Specialist to manage the accounts payable process and ensure accurate and timely vendor payments. This position handles invoices from receipt through payment, vendor documentation, sales and use tax compliance, and annual 1099 reporting. The successful candidate will be organized, able to work independently, and capable of prioritizing multiple responsibilities and deadlines. Key Responsibilities Manage the weekly accounts payable processing cycle , ensuring accurate and timely payments. Receive invoices by mail and electronically, route for approval, and follow up on outstanding approvals. Review invoices for authorization and accuracy, assign appropriate general ledger coding, and enter invoices into the accounting system. Prepare and process weekly AP checks and ACH/electronic payments . Maintain accurate AP records and supporting documentation. Research and resolve invoice, payment, and vendor discrepancies. Completing sales and use tax across multiple states , including proper tax treatment and required filings. Complete annual Form 1099 reporting accurately and by required deadlines. Obtain and maintain current W-9s and Certificates of Insurance (COIs) . Complete new vendor setups , including obtaining and reviewing required documentation. Respond to vendor inquiries regarding invoices and payments. Assist with other accounting responsibilities and special projects as assigned. Qualifications 3-5 years of accounting experience required , with accounts payable experience strongly preferred. Strong experience with Microsoft Excel and accounting software . Bachelor's degree in Accounting, Business Administration, Finance, or a related field is highly desirable. Experience in agriculture or agribusiness is a plus . Knowledge of AP processes, general ledger coding, and vendor management. Experience with sales/use tax, 1099s, W-9s, and vendor compliance preferred. Strong attention to detail and accuracy. Ability to work independently and take ownership of responsibilities . Strong organizational and time-management skills, including the ability to prioritize assignments and manage competing deadlines . Strong written and verbal communication skills. Schedule & Compensation This is a full-time, in-office position paying $27.00-$29.00 per hour , based on experience and qualifications. Regular and reliable attendance is required.
