Job Description
About the Role We are looking for a highly organized, proactive Operations Associate to become the operational backbone of a growing financial services practice. This is a hands-on role for someone who takes ownership, keeps details from slipping through the cracks, and takes pride in delivering a polished experience to clients and advisors. You will manage the behind-the-scenes work that keeps the practice moving: new-business processing, account servicing, client follow-up, documentation, records, and coordination with outside institutions and internal partners. Because you will work with sensitive personal and financial information, sound judgment, discretion, and consistent follow-through are essential. What You Will Own Keep client service and business-processing workflows moving from request through completion, with clear ownership of next steps and deadlines. Prepare, review, submit, and track account applications, transfers, distributions, beneficiary updates, and other service requests with exceptional accuracy. Maintain organized, complete client records in Wealthbox CRM and document-management systems; update data promptly and consistently. Proactively follow up with clients, advisors, financial institutions, carriers, and internal partners to resolve outstanding items and prevent delays. Identify missing information, paperwork issues, and processing risks early; communicate the path to resolution and see it through. Prepare and organize materials for client meetings, advisor reviews, and routine business activity. Build and maintain simple tracking systems for tasks, deadlines, and follow-up so priorities remain visible and commitments are met. Support operational improvement projects that make the practice more efficient, responsive, and scalable. Protect client confidentiality at all times and handle sensitive information with care, professionalism, and integrity. What Success Looks Like You become the person the team relies on to keep work moving. Requests are processed correctly the first time, clients receive timely updates, records stay clean, and advisors can focus on advice and relationships because the operational details are firmly under control. Nothing important is lost in the handoff: open items have an owner, a next step, and an appropriate follow-up. Client communications are prompt, accurate, warm, and professional. Business is submitted cleanly, service requests are monitored, and avoidable delays are minimized. You spot gaps before they become problems and bring solutions—not just questions. What We Are Looking For Experience in financial services, wealth management, insurance, banking, operations, or a high-touch client service environment. A strong track record of managing detailed paperwork, multiple priorities, and time-sensitive follow-up without sacrificing accuracy. Exceptional organization and a natural instinct to create order, document processes, and close loops. Clear, confident written and verbal communication with clients, advisors, and external partners. Comfort with Microsoft Office, CRM platforms (Wealthbox experience is a plus), document-management tools, and learning new systems quickly. A service-first mindset, good judgment, and the ability to work independently while collaborating closely with a small team. Professional presence and the maturity to handle confidential client information with discretion. An associate or bachelor's degree is preferred; equivalent relevant experience will be strongly considered.
