Key Responsibilities:
Serve as the first point of contact atFire Headquarters:
answer phones, greet visitors, and control building access. Interact with other departments, citizens, and business owners by phone and in person: provide information, direct to appropriate staff, take and relay messages, and process citizens' questions. Receive plans and process payments (checks, cash, credit cards) for Plan Review Fees. Assist during the Fire Department hiring process by checking in candidates. Prepare and distribute correspondence related to unpaid permits. Schedule fire station tours and demos for schools, daycares, and community groups. Establish and maintain files, records, accounts, and inventories; monitor and order office supplies. Arrange meetings, draft and respond to routine correspondence, and perform data entry, filing, faxing, and copying. Process FOIA requests and handle incoming payments for fees. Receive and distribute packages to appropriate staff or departments. Review and manage Contractor Reports, assigning them to the appropriate Deputy Fire Marshal. Perform other duties as assigned to support the Chesapeake Fire Department/Community Risk Reduction Division. Requires a high school diploma or GED/HSE and any combination of education and experience equivalent to satisfactory completion of one year of college education in word processing, secretarial skills, or a closely related field.Experience:
In addition to satisfying the vocational/education standards, this class requires a minimum of one year of full-time equivalent experience in administrative support.Special Requirements:
Employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies. Emergency operations support work and work locations may be outside of normal job duties. Preferred Qualifications Strong communication and organizational skills. Ability to handle multiple tasks in a fast-paced environment. Experience with data entry, office software, and customer service preferred.
