Easton, PA Job Summary:
The Controller is responsible for the day-to-day financial operations of the Greater Easton Development Partnership (GEDP), including all bookkeeping, accounts payable and receivable, payroll processing, general ledger management, and financial reporting. The Controller ensures the accuracy and integrity of the organization's financial records, supports the annual audit process, and provides timely financial information to support management and board decision-making.
Job Duties & Responsibilities:
Bookkeeping & General Ledger Record all financial transactions accurately and in a timely manner in the organization's accounting system Maintain the general ledger, ensuring proper coding across all programs, grants, and cost centers Reconcile all bank, credit card, and payment processing accounts on a monthly basis Maintain organized and complete records of all financial documents Accounts Payable & Receivable Process vendor invoices and ensure timely payment; cut checks and initiate electronic payments as needed Manage vendor relationships and maintain current W-9 files; prepare annual 1099 filings Invoice tenants, program participants, event vendors, and other receivables; follow up on outstanding balances Record all incoming payments and apply to appropriate accounts Payroll Process biweekly payroll accurately and on schedule, including all deductions, withholdings, and employer contributions Maintain payroll records and ensure compliance with federal and state payroll tax requirements Prepare and file quarterly and annual payroll tax returns (941, UC-2, W-2s, etc.) Coordinate with HR/management on benefit deductions, changes, and onboarding/offboarding Financial Reporting Prepare monthly financial statements including income statement, balance sheet, and cash flow report Produce program- and grant-specific financial reports as required by funders and management Assist the Executive Director in preparing the annual operating budget and monitoring budget-to-actual performance throughout the year Provide financial data and analysis to support board reporting and strategic planning Grant & Fund Accounting Maintain accurate financial records for all restricted and unrestricted funds Track grant expenditures against approved budgets; prepare financial reports for funders as required Ensure proper documentation and compliance with grant requirements and audit standards Coordinate with program staff on grant budgets, reimbursements, and close-outs Audit & Compliance Serve as primary staff liaison for the annual independent audit; prepare all required schedules and documentation Maintain internal controls and recommend improvements to financial policies and procedures Ensure compliance with nonprofit accounting standards (GAAP/FASB) and applicable regulatory requirements Maintain current and accurate records for all organizational insurance policies, contracts, and financial agreements Other Assist in evaluating and implementing accounting systems and software as needed Support the Executive Director and senior staff with ad hoc financial analysis and special projects Other duties as assigned
Knowledge, Skills and Abilities Required:
Minimum 3-5 years of bookkeeping or accounting experience required; nonprofit accounting experience strongly preferred Associate's or Bachelor's degree in Accounting, Finance, or related field preferred; equivalent experience considered Proficiency with accounting software (QuickBooks Enterprise) and Microsoft Office/Google Workspace required Strong understanding of nonprofit fund accounting, GAAP, and grant compliance High degree of accuracy and attention to detail; ability to manage multiple priorities and meet deadlines Strong communicator: able to present financial information clearly to both financial and non-financial audiences Collaborative work style: ability to work effectively with all levels of the organization, external auditors, vendors, and funders Discretion and professionalism in handling confidential financial information
