The Opportunity We are looking for a Behavioral Health Office Coordinator to be the operational foundation of our division. This role starts at the front — staffing our front desk, welcoming patients and families, and keeping day-to-day operations running smoothly across both locations. What You'll Do In the near term, your primary focus will be front desk operations:
- Welcome patients and families at check-in and check-out
- Schedule, reschedule, and confirm appointments in our electronic health record (eClinicalWorks)
- Triage incoming calls, voicemails, and referrals; route appropriately
- Facilitate smooth new patient intake from referral through first appointment
- Collect co-payments and administrative fees; handle basic billing and insurance inquiries
- Obtain prior authorizations as needed
- Maintain accurate and confidential patient records in accordance with HIPAA regulations
- Coordinate communication between patients, families, clinicians, and referring providers
- Order and maintain office supplies across both locations As you settle in, you will take on broader operational responsibilities:
- Run regular reports from the EHR on scheduling, no-show rates, outstanding notes, and financial metrics; share findings with the Director
- Send outstanding and unlocked progress note reports to clinicians on a regular cadence
- Develop and maintain administrative SOPs to ensure consistency across locations
- Attend staff meetings and distribute key action items
- Support recruitment, onboarding, and offboarding of BH division staff
- Assist the Director of Behavioral Health with special projects and operational initiatives Over time, as the division grows, this role has the potential to evolve into an Office Manager position with supervisory responsibility for front desk and administrative staff. What We're Looking For
- 2+ years of experience in a healthcare or medical office setting
- Strong organizational skills and the ability to manage competing priorities across two locations
- Excellent interpersonal and communication skills — comfortable with patients, families, clinical staff, and leadership
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
- Experience with electronic health record systems; eClinicalWorks experience a plus
- Reliable transportation and valid driver's license required; must be able to travel between Germantown and North Bethesda
- Associate's or Bachelor's degree in Healthcare Administration, Business, or a related field preferred; equivalent experience considered
