Job Description

Magnificent Minds Neurology Center is seeking an experienced, professional, and compassionate receptionist for our new office location in Columbia, Maryland. This individual will serve as the primary front desk leader for the office and play a critical role in creating a welcoming, organized, and efficient experience for our patients and families. The ideal candidate is highly organized, dependable, bilingual in English and Spanish, experienced in medical front office operations, and comfortable working in a fast-paced specialty practice environment. This position requires strong leadership, multitasking ability, excellent communication skills, and a patient-centered mindset. Responsibilities Front Desk & Patient Responsibilities Greet and check in/check out patients and families in a warm and professional manner Serve as the primary point of contact for patients, parents, and referring offices Answer high-volume phone calls and patient messages professionally and efficiently Schedule and coordinate new patient consultations, follow-up appointments, EEGs, and telemedicine visits Verify and update patient demographics, insurance information, referrals, and authorizations Collect copays, balances, and required paperwork at check-in/check-out Assist families with appointment questions, forms, and general office navigation Ensure patient confidentiality and HIPAA compliance at all times Administrative Responsibilities Manage incoming faxes, records requests, and medical documentation Coordinate with referring pediatricians, specialists, schools, and therapists as needed Monitor and respond to Athena/EHR tasks and patient portal messages Assist with insurance eligibility verification and prior authorization workflows Maintain accurate scheduling and patient records within the EHR system Support administrative projects and operational initiatives as assigned Medical Assistant Responsibilities Prepare and review patient charts prior to appointments Room patients and obtain vital signs including height, weight, & temperature Document patient history, medications, chief complaint, and HPI for provider review Maintain clean, stocked, and organized exam rooms Clean and sanitize rooms and equipment between patients Qualifications Minimum 2 years of medical receptionist or healthcare front desk experience Strong customer service and communication skills Ability to multitask and remain calm in a fast-paced environment Professional appearance and demeanor Strong attention to detail and organizational skills Experience with Athena EHR or similar electronic medical record systems preferred Comfortable working with children, adolescents, and families Experience in pediatrics, neurology, psychiatry, or specialty medicine strongly preferred Fluent in Spanish preferred but not required What We Offer Opportunities for growth within a rapidly expanding specialty practice Supportive team environment Meaningful work helping children and families access specialty care Paid time off and benefits package available
