The Wellness Institute of Nashville is looking for an exceptional Front Office Coordinator to become an important part of our team. This is not simply a position answering phones and checking patients in. Our front office is the center of a busy, established chiropractic and wellness practice. We need someone who can think ahead, solve problems, communicate confidently, keep details organized, and recognize what needs to be done without waiting to be told. For more than 20 years, we have built our practice around taking exceptional care of people. We have invested heavily in advanced technology and therapies, but the experience our patients have with our team matters just as much. We are looking for someone who takes pride in doing things well. You may be a great fit if you: Have a strong, stable work history with demonstrated reliability Have at least 2 years of professional office, medical office, administrative, or high level customer service experience Learn quickly and retain information Have excellent judgment and practical problem solving skills Notice details other people miss Can prioritize without needing constant direction Communicate professionally and warmly in person and on the phone Are comfortable working in a busy environment where priorities can change quickly Follow through and finish what you start Are punctual, dependable, organized, and accountable Enjoy working with people and contributing to a team Are comfortable learning new technology and office systems Are looking for a place where you can stay, grow, and become an important part of the practice What you'll be responsible for: You will help create an exceptional patient experience from the first phone call through each visit. Responsibilities include scheduling and confirming appointments, answering phones, greeting patients, collecting payments, maintaining accurate patient information, assisting with office flow, communicating with the clinical team, handling routine administrative tasks, and identifying problems before they become bigger problems. This position requires someone who can think while they work. There will be busy moments, competing priorities, and situations where good judgment matters. What we value Reliability. Initiative. Good judgment. Attention to detail. Professionalism. Skills can be taught. Work ethic, personal accountability, and the desire to do excellent work are much harder to teach. We have a positive, energetic office and genuinely enjoy working together. We work hard, laugh often, and take caring for our patients seriously. We are looking for someone who wants to contribute to that environment rather than simply fill a position. Schedule Approximately 35 hours per week. Candidates must be available for the practice's required operating hours, including early mornings and evenings. Additional hours may occasionally be available. Requirements Minimum two years of professional work experience required. Previous medical, chiropractic, dental, physical therapy, hospitality, banking, executive administrative, or other high responsibility customer facing experience is strongly preferred. Excellent verbal and written communication skills, computer proficiency, reliable transportation, consistent attendance, and the ability to pass a drug screening are required. If you are dependable, sharp, personable, and naturally take ownership of your work, we would love to meet you.
