Job Description

Job Overview We are seeking a dynamic and detail-oriented Events and Remotes Properties Coordinator to join our vibrant team. The Events & Remote Properties Coordinator (ERPC) provides high-level administrative, logistical, and hands-on operational support for events and remote property functions, ensuring accurate documentation, organized execution, and responsive follow-through across multiple properties and projects. This role supports the Director, Events & Remote Properties by managing detailed records, coordinating task tracking, assisting with purchasing, inventory, shipping/receiving, event setup and breakdown, property documentation, and special projects. The position requires strong discretion, exceptional attention to detail, flexibility in a fast-paced environment, and the ability to travel, particularly around holidays Essential Responsibilities Event Operations & Onsite Support
  • Serve as the onsite support partner for the Director, Events & Remote Properties, helping coordinate event preparation, setup, execution, breakdown, and follow-through across multiple properties.
  • Organize and document key areas of Events Department with emphasis on recording and updating details in Google Sites including: Task List updates (data entry, linking photos, creating spreadsheets) Meeting Minutes Property Standards (create and format standards documents) Purchases and Proposals
  • Research options and vendors for Event Purchases
  • Compare and evaluate options to be reviewed with Supervisor
  • Place purchase orders from start to finish and document as needed
  • Receive and place items in appropriate locations
  • Process returns, tracking credits and refunds Assist with maintenance and organization of Event reference binders and folders (physical and digital)
  • Inventory Create and maintain asset inventory lists Assist with physical inventory of personal property Assist with physical organization of multiple storage units
  • Assist with moves, pick-ups and installations of furnishings or event supplies for multiple properties
  • Assist with event logistics Event logistics include creating sample event layouts, table mockups, booking venues and vendors, and physically pulling samples for review Assist with event set up and break down
  • Receive and check household flowers weekly
  • Assist with Holiday Decorating for multiple properties Pull and organize holiday bins from storage Decorate multiple properties for Holidays as instructed Photo document all decor for reference Decor break down, clean up, coordinate move of items back to storage
  • Assist with maintenance and organization of Design Workroom
  • Accounting and reporting support
  • Design and Event email accounts
  • Clean out and file emails
  • Maintain/Update passwords and online accounts as necessary Remote Property Assistant Complete administrative support to the Director of Remote Properties Document all aspects of Property Management and ongoing projects Assist with general accounting support for Remote Caretakers Maintain current vendor lists Data entry and Google Sites documentation Assist with Project tracking by documenting projects from start to finish by uploading information to Sites such as emails, bids, approvals, invoices, photos, plans and follow up.
Additional Responsibilities Represent the organization with the highest level of professionalism and confidentiality Perform duties discreetly, allowing for privacy when family members are present Remain watchful; call out any potential issues and actions needed in assigned areas Notify management immediately of any safety-related issues Run errands (could be related to assigned tasks or to help another department accomplish goals of the organization) Other tasks, as assigned.
