We host weddings, quinceaneras, Sweet 16s, and corporate events for up to 150 guests under 20-foot chiffon-draped ceilings on a maple dance floor. We have someone who sells the room and someone who runs the night. We're looking for the person in the middle who owns everything from the signed contract to the door
  • and who will build that side of the business properly rather than just keeping up with it.
This role starts part-time, around 15 hours a week, in the ballroom during the day.
WHAT YOU'LL DO
  • Contracts. Drafting them, sending them, tracking what each client signed, and keeping the paperwork clean as packages change.
  • The client, from signature to send-off. Once the contract is signed, that family is yours. You're who the bride calls, and you know her timeline, her balance, her vendor list, and what her mother is worried about.
  • The money. Payment schedules, invoices, reminders before a balance goes late, and the collections conversation handled warmly and without flinching.
  • Planning meetings. Scheduled, led, and followed up on, with decisions actually written down.
  • Our event staff. You'll manage our day-of coordinator and event-night team
  • briefing them properly before each event, setting the standard, and being the person they call when something changes.
  • The system behind all of it.
Run-of-show templates, checklists, a clean booking calendar, a vendor list worth having. Right now a lot of this lives in our heads. We want it to live in yours, and then on paper.
AS THIS GROWS INTO FULL-TIME
The scope widens
  • this is what the extra hours buy, and what we'll build toward together:
  • Venue operations: setup and breakdown standards, maintenance, inventory, supplies
  • Hiring and managing a bigger bench of event-night staff
  • Vendor relationships and negotiated preferred rates
  • Covering tours alongside our Sales Coordinator at peak
  • Post-event reviews, referrals, and capturing content for our marketing
SCHEDULE
  • About 15-20 hours per week
  • Some client meetings shift to an evening or a Saturday
  • we'll plan those together, well in advance
  • Occasional event nights, not every weekend
  • As our calendar fills, days get added.
That's the path to full-time, and you'll see it coming.
WHO WE'RE LOOKING FOR
  • You've actually run events, not just helped at them. Venue, hotel, catering, or independent coordination
  • you've been the one holding the clipboard and making the call.
  • You've managed people. You can brief a team, hold a standard, and correct someone kindly without it becoming a thing.
  • You build systems. Handed a mess, your instinct is to organize it permanently, not to survive it one weekend at a time.
  • You're comfortable with money conversations. "Your next payment was due Friday" is a sentence you can say kindly, clearly, and without apologizing.
  • You're warm with anxious people. Our clients are planning the biggest day of their lives, often for the first time, frequently on a stretched budget.
  • You're good on the computer and the phone. Email, Google Workspace, booking calendar and CRM, contracts, and long phone calls with brides.
  • Spanish is a huge plus. A large share of our quinceanera and wedding families are Spanish-speaking.
  • Regular W-2 part-time position, paid twice monthly
