Primary responsibility of the Events Manager is to plan, execute, and oversee Mote's Internal diverse portfolio of events. Facilities where internal events are held include, Mote SEA, City Island, MAP, Tallahassee locations. The Event Manager is responsible to serve as the primary operational liaison for internal departments and external partners/vendors. This includes working closely with Deep Blue Hospitality, Mote SEA's exclusive catering partner, to coordinate coastal, environmentally responsible event dining. The Events Manager works closely with other internal departments to execute the outlined goal.
Responsibilities:
Internal Mote Events Plan and execute Mote fundraising events, donor receptions and symposiums in support of the Development department.
Event examples given:
Special Lecture Series, Farm to Fillet, MOTE-ivational Science Lecture Series, Legacy Brunch, Party on the Pass, Run for the Turtles, Coffee with a Scientist, Black and White Party, SEAsonal Tasting, Oceanic Evening, Guardians of the Sea, Celebration of the Councils, Monda Intern Reception, Icon Events, Evening on the Bay, etc. Plan and execute of Mote Aquarium & Member events Event examples given: Sharktoberfest, Christmas Parade, A-Scar-ium, Santa Jaws, Special Exhibit Openings, Mother's Day, Father's Day, Member Appreciation events, Sea and Savor, Film Festival etc. Plan and execute Mote Education events Events include: YOCS, Staff Holiday Party, Volunteer Staff Holiday Party Plan and execute Mote's legislative session events in Tallahassee (travel required.)
Additional Responsibilities:
Put safety of guests, employees, interns and volunteers as a top priority Assist in developing annual budgets Exercise discretion and independent judgment with respect to matters of significance Communicate accurately, effectively, and regularly with members of other departments (Communications, Education, Development, Facilities, Aquarium, Business Offi ce, etc.) Ensure continued compliance of related plans, policies, procedures, laws and standards Local, state, and federal laws Music licensing AZA standards Safety drills - fi re, lost child, animal escape, etc. Disaster preparedness - hurricane, pandemic, etc. Other duties as assigned
Working Hours:
Regular office hours Monday through Friday with the understanding that flexibility is required to provide coverage for events after hours (some late into the evening) and weekends. Due to the nature of this position weekend, holiday and evening or early morning duty will often be required.
Minimum Requirements:
First Aid and CPR certifi ed or willing to attain within 3 months of hire date. 3+ years of event management experience.
Education:
Bachelor's degree required.
Experience:
Customer service, hospitality and sales experience strongly preferred. Computer literate, able to work accurately and efficiently with clients and vendors. Detail oriented with event planning experience. Excellent communication and interpersonal skills, particularly in relationships with clients, volunteers, donors, staff and aquarium visitors. Ability to manage multiple projects independently. Must be able to create layouts, place rental orders, and manage events from start to fi nish. Ability to self-start is required.
