Job Description
Private Events ManagerPosition Overview We are seeking an experienced and highly organized Private Events Manager to oversee the planning, coordination, and execution of private events from initial inquiry through completion. This role is responsible for delivering exceptional guest experiences while meeting revenue, service, and operational goals for 2 private events spaces. The ideal candidate is personable, detail-oriented, proactive, and confident managing multiple events, clients, vendors, and internal teams simultaneously. Key Responsibilities Manage the full private-events process, including inquiries, proposals, contracts, deposits, event planning, execution, and follow-up. Build strong relationships with clients and serve as their primary point of contact throughout the planning process. Conduct site visits, consultations, tastings, and event meetings as needed. Create customized event proposals, menus, timelines, floor plans, and event orders. Coordinate with culinary, service, operations, management, and other internal departments to ensure seamless event execution. Coordinate outside vendors, entertainment, décor, rentals, and other event-related services. Manage event budgets, pricing, deposits, contracts, and final billing. Meet or exceed private-event sales and revenue goals. Maintain accurate records of leads, bookings, client communications, and event details. Oversee events on-site when required, ensuring exceptional service and resolving issues quickly and professionally. Identify opportunities to increase event revenue through upgrades, enhancements, food and beverage packages, and additional services. Conduct post-event follow-up and gather client feedback to encourage repeat business and referrals. Maintain a high level of professionalism, hospitality, and attention to detail at every stage of the client experience. Qualifications 5+ years of experience in private events, catering, hospitality, event planning, or a related field. Strong sales, communication, negotiation, and organizational skills. Ability to manage multiple events and deadlines in a fast-paced environment. Excellent customer-service skills and a hospitality-focused mindset. Strong knowledge of event planning, food and beverage service, and event logistics. Proficiency with Microsoft Office, Google Workspace, CRM systems, and/or event-management software. Ability to work flexible hours, including evenings, weekends, and holidays when events require. Professional appearance and excellent written and verbal communication skills. Ability to remain calm, solution-oriented, and professional under pressure. Preferred Qualifications Experience managing high-end, corporate, social, wedding, or VIP events. Existing relationships with local vendors and event professionals. Experience with event sales and revenue management. Experience creating proposals, contracts, Banquet Event Orders (BEOs), and event timelines. Hospitality, event-management, or business-related degree or certification.
