Job Description
Position Summary:
ATK Energy Group is seeking a highly organized, detail-oriented, and professional Administrative Events Coordinator to support the planning, coordination, and execution of conferences, trade shows, company events, meetings, recruiting events, sponsorships, and related administrative initiatives for ATK and its affiliated companies. This position serves as a key administrative and logistical support role, responsible for coordinating event registrations, travel arrangements, lodging, promotional items, vendor communication, attendee schedules, event materials, invoice tracking, and general office support. The ideal candidate is proactive, dependable, professional, and able to manage multiple priorities while maintaining a high level of accuracy and confidentiality.Essential Duties and Responsibilities:
Coordinate all aspects of conferences, trade shows, and company events from planning through completion. Register employees for conferences, industry events, training programs, and professional meetings. Arrange hotel accommodations for conferences/events. Manage room blocks and lodging reservations while ensuring compliance with company travel policies and budgets. Coordinate event schedules, itineraries, and attendee communications. Order, track, and maintain company promotional items, branded apparel, and logo giveaway merchandise for events and recruiting activities. Work with vendors to obtain quotes, place orders, and ensure timely delivery of promotional materials. Maintain inventory of marketing materials, banners, displays, and event supplies. Assist with preparing presentations, registration packets, name badges, and event materials. Coordinate shipping and packing of trade show displays, promotional items, and equipment to event locations. Process invoices, maintain expense records, and reconcile event-related costs. Maintain calendars for conferences, meetings, and important company events. Answer phones, manage correspondence, and provide general administrative support. Organize electronic and paper filing systems. Maintain confidentiality of company and employee information. Communicate professionally with vendors, customers, employees, and industry partners. Assist leadership with special projects and operational initiatives. Perform other administrative and operational duties as assigned.Qualifications:
Minimum of 2 years of administrative, executive assistant, event planning, or office coordination experience Strong organizational and time-management skills. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. Ability to prioritize multiple projects while meeting deadlines. Strong attention to detail and problem-solving abilities. Professional appearance and customer-service mindset. Experience coordinating travel, lodging, or corporate events is preferred. Experience working with vendors and managing promotional merchandise is a plus. Occasional lifting of boxes or promotional materials up to 30 pounds. Occasional travel to conferences, trade shows, and company events may be required. Work Environment This position is primarily office-based with occasional travel to conferences, trade shows, recruiting events, and company meetings.
